Summary
Performs tasks related to the upkeep of external local, state and federal programs under the supervision of the Grants Fiscal Officer. Serves as liaison between the Finance Department, State Department of Education, and Program Coordinators/Supervisors.
Essential Duties and Responsibilities
  • Assists Directors and Supervisors with accounting information related to external programs.Assists with the preparation of PEP report data for external grants employeesPrepares and distributes chart-of-accounts based on approved budgets and budget revisions.Monitors expenditures to ensure line-item budgetary control for various funds.Assists in preparation of Annual Financial Reports.Processes miscellaneous invoices for reimbursement.Analyzes expenditure data and processes claims for reimbursement requests for external local, state and federal programs.Assigns and updates employee charge data.Verifies the timely receipts of revenue for request of funds and miscellaneous invoices.Prepares financial reports as required by the Board, State Department of Education, and any other requesting agency.Assists with annual financial audits.Monitors advance accounts to ensure proper settlement.Prepares financial analyses and budget forecasting reports as required.Distributes monthly expenditure, payroll, and procurement reports.Answers telephones and maintains the Grants office files.Performs other duties as assigned.
Qualifications: Graduation from high school with at least three years experience as a secretary or bookkeeper in a large business or public agency. Ability to exercise judgment in making decisions in accordance with policies and practices of the department. Ability to supervise the work of others as well as establish routines to handle the everyday work of the department. Ability to perform and understand analytical operations and financial calculations and work under the pressure of deadlines. Proficiency in Excel and Microsoft Word
