Essential Functions and Objectives:

The School Communications Liaison and Events Specialist is responsible for implementing a comprehensive communications and outreach strategy for the CareerConnect team. Functions include managing the day-to-day implementation of our CareerConnect communications plan, serving as a liaison between the CareerConnect team and the DPS Communications and Marketing team, providing support in the areas of internal communications, branding, marketing, and community relations as necessary. The specialist will also be responsible for planning a predetermined number of events per year.

This is a grant-funded six-month position for the 2018-19 school year. Because the position is new and we believe that it is critical to the success of the CareerConnect program, we hope to be able to continue this position into future years but this will be dependent on school district and/or grant funding.

The ideal candidate will have project management experience, track record of working successfully with graphic designers, and experience working with project management tools.

- Manages all aspects of event planning including idea creation, agenda development, venue selection, budgeting and coordinating participation across CareerConnect teams.

- Coordinates marketing material and other collateral necessary for successful event presentation.

- Serves as liaison for ad-hoc tours of CareerConnect programs.

- Maintains records of attendees for future outreach.

- Responds to RSVP and attendee inquiries in timely manner.

- Participate in training provided by the CareerConnect team as requested.

- Demonstrate professional behavior as defined by CareerConnect's program guidelines.

- Support central communications team by coordinating data gathering from CareerConnect sub-teams.

- Coordinate all printed materials and visual identity for CareerConnect Schools, including pricing and ordering. These may include: vinyl Banners, pull-up banners, soft skills posters, classroom WBL posters, 8th grade posters, STEM Connect posters, swag and polos-/-shirts for students.

- Develop presentation packages, in conjunction with DPS communications team, for external partners, school-based personnel, and family outreach.

- Update CareerConnect website, as necessary.

- Develop and maintain CareerConnect newsletter, including content creation.

- Monitor marketing and events budget.

- Support External Relations and Communications in planning CareerConnect annual events; Industry Summits, Partnership recognition breakfast, Advisory Council Meetings, and Internship celebration. Will include: Budgeting, quoting, purchasing, contracting/insurance policies process, site visits for video and storytelling.

- Project manage the completion of CareerConnect annual documents, including our annual report and strategic plan (including annual refreshes). This will include coordinating with DPS CareerConnect leaders, schools, and the DPS Communications team.

- Work with DPS communications team to coordinate all graphic material for CareerConnect flagship events. Will include invitations, flyers, ConstantContact communications, banners, programs, and other promotional material.

- Regularly meet with school- and work-based coworkers to stay current with any pressing needs while moving projects forward.

- Establish and maintain effective working relationships with coworkers and partners.

- Other Duties as assigned.

Knowledge, Experience & Other Qualifications:

- 3+ years of strategic communications, marking, and/or internal communications experience.

- A Minimum of two (2) years of comprehensive experience in planning events for up to 600 people.

- Excellent written and content development skills, as confirmed through writing samples and references.

- Experience with graphic design, video production and web publishing tools (Final Cut Pro, Adobe Acrobat, Publisher, Dreamweaver, HTML, Kentico, etc.) a plus.

- Bilingual in English & Spanish is preferred.

- Knowledge of applicable laws and regulations.

- Demonstrated proficiency with Microsoft Office products including Word, Excel and Outlook.

- Demonstrated experience managing and completing multiple projects (full life-cycle project planning and implementation.

- Demonstrated experience performing as an effective leader and team player, and recognizing and resolving conflicts or potentially controversial situations through diplomacy.

- Outstanding facilitation and communication skills, including ability to inspire others.

- Ability to communicate diplomatically, persuasively, effective oral, written and presentation skills.

- Strong organizational and analytic skills and strong attention to detail.

- Self-starter/leader who can anticipate department needs in a proactive (versus, reactive) manner.

- Strong inter-personal skills and ability to work with individuals at all different levels in the organization.

- Strategic planning and organizational development knowledge and skills.

- Event planning certification preferred.
