JOB TITLE:                     HUMAN RESOURCES ASSISTANT                                   

DEPARTMENT:             Human Resources

POSITION SUMMARY
Reporting to the Director of Human Resources, the Human Resources Assistant will support tactical HR activities aligned with the employee life cycle.  Responsibilities include maintenance of personnel files, pre-employment background screening, coordination of new hire orientation, employee verification, leave tracking, and supporting the employee off-boarding process.  In addition, the Human Resources Assistant will support the Director of Talent with recruitment activities to include job posting, scheduling of interviews, and reference checks.  The Human Resources Assistant regularly collaborates with members of the HR Team and serves as a direct point of contact to employees for general HR inquiries.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Human Resources

  • Audit, track, and retain all personnel files to ensure compliance
  • Maintain Master List of staff and manage internal communications for new hires and terminated staff. 
  • Serve as direct point of contact for completing employee verification requests; consult with HR team members as needed
  • Coordinate leave training of PTO balances and serve as direct point of contact for employee inquires related to balance information
  • Support employee off-boarding to include drafting separation letters and exit checklist activities
  • Monitor, review, and respond to general HR inbox
  • Serve as initial point of contact for general HR-related employee inquiries
  • Develop and build strong relationships with internal and external stakeholders
  • Participate in other projects and duties, as assigned by Director of Human Resources

 

 

Talent Recruitment

  • Support the recruitment process by managing job postings and social media updates as requested by the Director of Talent
  • Conduct reference checks for candidates using an established template, as requested by Director of Talent
  • Responsible for all pre-employment background screening administration; escalate background screening findings to Director of Human Resources for review
  • Coordinate all HR-related paperwork for new hire orientation; ensure paperwork packets are updated and organized;
  • Collaborate with Director of Talent to plan and execute pre-service and activities to support positive staff culture

QUALIFICATIONS, KNOWLEDGE SKILL REQUIRED

  • Bachelor’s Degree
  • Minimum of two years of work experience in human resources and/or related field
  • Prior experience working within K-12 education preferred but not required
  • Prior experience working with a HRIS system (ADP payroll and Workforce Now) preferred but not required 
  • Strong oral, written, and interpersonal skills with proven ability to build positive working relationships with internal and external stakeholders;
  • Demonstrated commitment to providing a high-level of service to employees
  • Ability to work both independently and collaboratively within a fast-paced environment
  • Strong organizational and time management skills with the demonstrated ability to multi-task and prioritize
  • Proficient with technology (Microsoft Office Suite (Word, Excel, PowerPoint), Google Gmail/Docs/Sheets)
  • Ability to retain confidential information required


ADA SPECIFICATIONS: This position will be based at one of Chavez Schools’ campus locations.  While performing the duties of this job, the employee is regularly required to move about the building.  In addition, travel between Chavez campuses or to other sites could be required, frequency to depend on the needs of the school and position.  The employee is regularly required to speak audibly, see, listen actively, and use hands to handle objects while performing the duties of this job.  This position requires the ability to use standard office equipment such as computers, phones, and filing cabinets.
