    Title: Transportation Coordinator

    Reports To: Chief Operating Officer

    BASIC FUNCTION/PURPOSE:

    The Transportation Coordinator will report directly to the Chief Operating
    Officer (COO).

    Primary Duties: Manages the coordination of student transportation to ensure operations run smoothly and efficiently. Duties will include setting up and managing multiple online and computer based programs required to perform daily functions necessary for Transportation and other tasks of the Business Department. Duties will also include producing accurate and timely documents required for State reporting.
    Knowledge of USD 475 policies and KSDE statues relating to transportation and district business management are necessary.

    Secondary Duties:
    • Coordinates "Out of State" travel requests throughout the District. Prepares appropriate documentation and memorandum for BOE review / approval.
    • Manages and coordinates a summer work master calendar / schedule. Facilitates and posts input from various functional proponents serving as stakeholders in the summer work process.
    • Manages Business Department service contracts. Monitors and prepares annual contract price adjustments for COO signature IAW contract provisions. Tracks contract performance periods and renewals. Notifies COO and Operations Manager 18 months and again 12 months prior to contract expiration in order to ensure timely reprocurement.
    • Monitors / manages COO calendar to ensure scheduling of appointments and meetings are deconflicted.
    • Prepares briefings, letters, and memorandums as required by the COO.
    • Serves as the Business Department staff officer for the purposes of scheduling, facilitating and documenting various recurring and nonrecurring meetings.
    • Submits and tracks work orders in support of Department operations.
    Additionally, this assignment requires quality completion of all other duties as assigned.

    PERFORMANCE RESPONSIBILITIES
    1. Responsible for management of data for multiple online and computer based programs in the district.
    2. Provide support for district staff members in access of and data entry of multiple online and computer based programs specific to transportation and business operations.
    3. Analyze and resolve application issues to ensure proper operation.
    4. Attend meetings and other trainings related to student transportation and other job functions.
    5. Respond to inquiries from a variety of sources (parents, contractors, teachers, principals, school personnel) and respond by providing assistance.
    6. Ability to work extended hours when emergencies arise to prevent disruption to schools' needs.
    7. Perform other duties and responsibilities assigned by the Chief Operating Officer.
    WORK RELATED SKILLS REQUIRED
    1. The ability to use Excel with a high degree of efficiency to include formulas.
    2. The ability to learn program applications and import and export data in a timely and efficient manner including the operation of all office equipment.
    3. The ability to organize data in various applications such as Microsoft Excel, Word, Access, Power Point and Adobe Acrobat.
    4. The ability to learn and operate transportation related programs and the SKYWARD Management program.
    5. The ability to work with details to assure accuracy of information.
    6. A background and understanding of working with technology systems focused on maximizing work efficiencies.
    7. Demonstrates good communication and customer service skills under challenging conditions.
    8. The ability to maintain confidentiality.
    9. The ability to exercise good judgement and make decisions which do not depart from USD 475 and KSDE policies and procedures.
    Term of Employment: 12 Month

    Salary Range: Commensurate with qualifications and experience

    Evaluation Frequency: Job performance will be evaluated a minimum of 1 time per year.
