The Office Manager/School Based Enrollment Coordinator manages a team responsible for providing clerical, administrative and secretarial support. This position also works closely with families, school districts and the company's central Enrollment and Document Processing teams to oversee and coordinate all aspects of student enrollments and reenrollments. The position handles the recruitment, selection and onboarding of temporary staff, develops policies and procedures that improve operational efficiency with an emphasis on student records and record keeping, and directly provides a wide-range of general administrative services that support school administrators.

Supervisory Responsibilities: Directly supervises 5 - 7 Full-time Equivalent (FTE) regular employees and/or contractors. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

AS A School Based Enrollment Coordinator / Office Manager, YOU WILL...
  • Assists with the student enrollment/reenrollment process working closely with K12 Enrollment and Document Processing teams
  • Ensures State compliancy guidelines are met for incoming enrollments; Creates and amends school specific enrollment forms and student files to conform to State s laws and school preferences;
  • Assigns clerical, administrative and secretarial responsibilities and tasks among office staff; Allocates resources to enable task performance; Coordinates office staff and activities to ensure maximum efficiency;
  • Plans, monitors and evaluates staff performance; Trains, coaches and disciplines office staff;
  • Works with staffing agencies to recruit and select temporary office staff; Orients and trains contractors; Terminates individual contractor positions as appropriate;
  • Ensures adherence to office policies and procedures; Monitors and analyzes internal processes; Designs and implements new office policies and procedures and updates existing to improve operational efficiency;
  • Facilitates stakeholder communications throughout the enrollment process serving as a single point of contact for students, prospective students, parents, district administrative personnel and reporting agencies;
  • Provides internal reviews and edits of work completed by parents and centrally based enrollment personnel during enrollment process;
  • Manages re-registration process for enrolled families making decisions for next year including the training of all school staff, processing documents, and working with families directly;
  • Maintains a relationship with the corporate office-based enrollment team communicating regularly about deadlines, policies, State legislative changes, and school updates.
  • Designs and implements filing systems for student records; Establishes procedures for record keeping; Monitors and ensures filing systems are maintained and current; Streamlines various procedures for retention, protection, retrieval, storage and disposal of records where applicable for evolving efficiency;
  • Oversees inventory and maintenance of all office equipment and supplies; Reviews and approves office supply acquisitions; Maintains postage meter, mailing and package shipment supplies; Manages all package/shipping and office services with third party vendors;
  • Oversee withdrawals, and re-enrollments;
  • Provides general administrative support by handling the telephone system and coordinating and updating the automated phone tree; setting up conference calls, meetings and office functions both on and off-site; ensuring all conference rooms, kitchen and general traffic areas

Requirements

MINIMUM QUALIFICATIONS

  • Bachelor's Degree AND
  • Two (2) years of related experience OR
  • Equivalent combination of education and experience

OTHER REQUIRED QUALIFICATIONS
    Great organizational and time management skills
  • Experience using search engines (Internet) for research projects
  • Experience using a student information system and/or other type of database
  • Working knowledge of digital phone systems (PBX or others)
  • Professional experience using Microsoft Outlook, Word, Excel
  • Strong written and verbal communication skills
  • Ability to pass required background check

DESIRED QUALIFICATIONS
  • Experience with inventory management
  • Previous supervisory experience
