Job Description / Essential Elements:

OFFICE MANAGER

Description:

Provide administrative and secretarial support to the principal while overseeing day-to-day office operations. Maintains a positive demeanor and is highly organized in all activities.




Essential Duties and Responsibilities:

Operations of the school site include but are not limited to the following:

  • Acts on behalf of the Principal in his/her absence for the purpose of conveying or gathering information as a primary representative of the school; handles questions, concerns, complaints

    • Greets and assist parents, students, and visitors to the school in a friendly and professional manner.
    • Answers the phone using a professional and courteous manner.
    • Frequently monitors voice messages and communicates information in a timely manner
    • Attends and lends support to successfully conduct parent meetings and school events



  • Administers first aid and prescription medications to students (under the direction of a health care professional) when the Office Assistant is not available for the purpose of providing emergency and necessary care in compliance with established guidelines.
  • Collects payments for a variety of events (e.g., bus tickets, student council, donations, fines, fees, fund raisers) for the purpose of completing transactions and/or securing funds; handles petty cash fund.
  • Compiles data/reports from a variety of sources (e.g., time sheets, attendance reports, lunch claims, CALPADS, student information system, budget reports, specialized reports, personnel records) for the purpose of processing data/reports in compliance with financial, legal, school district, state, and federal and/or administrative requirements.
  • Composes a variety of documents (e.g., correspondence, agendas, minutes, newsletters, bulletins, reports) for the purpose of communicating information and/or creating documentation in conformance with established guidelines; translates from English to Spanish.
  • Coordinates a variety of projects, functions and/or program components (e.g., facility usage, guests, meetings, training events, travel and accommodations) for the purpose of completing activities and/or delivering services in a timely fashion.
  • Coordinates daily teacher substitute activities for the purpose of ensuring that staff absences are covered in a timely manner and that student safety and educational process needs are met.
  • Maintains a wide variety of manual and electronic documents files and records (e.g., student enrollment data, student health forms, master calendar, budget data, employee records, financial records, reports) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • Monitors students referred for illness or those referred for disciplinary action for the purpose of ensuring student welfare and maintaining a secure office environment.
  • Oversees day-to-day office workload and supervision of office assistants for the purpose of ensuring the completion of activities in an accurate and timely manner.
  • Prepares a wide variety of reports, documents and correspondence of a confidential and non-confidential nature (e.g., letters, memorandums, meeting minutes, charts, operational procedures, manuals) for the purpose of documenting activities, providing written reference, and/or conveying information.
  • Supports Principal and other administrative personnel for the purpose of providing assistance with their functions and responsibilities.
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the school.


Job Requirements: Minimum Qualifications Skills, Knowledge and Abilities

  • SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including utilizing pertinent software applications; planning and managing projects; and preparing and maintaining accurate records.
  • KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; concepts of grammar and punctuation; and pertinent codes and regulations.
  • ABILITY is required to schedule a number of activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and/or groups; work with a variety of data. Problem solving is required to identify issues and create action plans. Specific ability-based competencies required to satisfactorily perform the functions of the job include: working independently; communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; working with constant interruptions; setting priorities; and establishing and maintaining effective working relationships.


Responsibility

  • Responsibilities include: working under limited supervision using standardized practices and/or methods; directing other persons within a small work unit. There is a continual opportunity to impact the organization's services.


Working Environment

  • The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. The job is performed in a generally hazard free environment.

  • Tuberculosis Clearance


  • Qualifications:


  • B.A./B.S. degree preferred
  • Must have knowledge in the use of a copier and fax machine
  • Must have 2+ years of Customer Service experience


  • Skills:
  • Spanish Bilingual preferred
  • Intermediate proficiency in Microsoft Word, Excel, and Outlook
  • Must be flexible and team-oriented
  • Must have excellent management and organizational skills and a positive attitude
