The Administrative Assistant will perform a wide variety of clerical and secretarial duties as well as assist the administrative team as necessary; provide clerical accounting, attendance, and registration duties.

CHARACTERISTICS - DUTIES AND RESPONSIBILITIES:

  • Responds to requests (telephone, personal, and mail) for information/assistance. Communicates in a positive manner to all staff, parents, and community members through phone calls, e-mails, and in person contact. Grant building access to visitors. Receive packages
  • Opens, sorts, prioritizes mail and messages.
  • Collects information, organizes, types, and proofreads a variety of documents, including scheduling appointments and performing other receptionist duties.
  • Front office duties also include colleting payments, handling student and staff requests, maintaining student records
  • Assumes responsibility for ordering, distributing, and maintaining office supplies/equipment.
  • Coordinates new student enrollment - process incoming applications, verify student counts, validate data, arrange shadow days, assist with scheduling meetings, register students, process paperwork such as records requests and shadow forms.
  • Enter discipline data into e-school. Maintain detention schedule.
  • Enter Attendance into e-school for substitutes. Process truancy and attendance trends.
  • Assist Business Manager with processing vouchers, bills and invoices, communicate with vendors
  • Assist Dir. Of Personnel with tracking employee time off and scheduling interviews, assist with statewide processes - unit count, rollover, etc.
  • Support the Administrative team with administrative duties as needed.

REPORTING RELATIONSHIP: Will report to the Director of Personnel and Administration
QUALIFICATIONS:

  • High School diploma or GED.
  • Demonstrates proficiency in Microsoft office & eSchool.
  • Two years any combination of secretarial-level work experience and/or higher education, business school training.
  • Experience and competence with computer technology.
  • Ability to exercise good judgment and discretion.o Ability to work cooperatively with others.School District/building experience helpful.
  • Ability to coordinate workload to meet schedules/deadliness
