Special Education Operations Manager

TThe Supervisor, Special Education Registrars supports school administrators and manages Special Education office support by overseeing the processing requests for both new Special Education enrollments and withdrawals in the Special Education Local Area Plan (SELPA) systems and other systems as needed, maintaining student files and records that are Special Education in nature, performing routine administrative duties and facilitating communications with various stakeholders.

Directly supervises regular employees and/or contractors. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

AS A SPECIAL EDUCATION OPERATIONS MANAGER, YOU WILL...
  • Manages the Special Education office staff including both Registrars and Enrollment personnel for multiple schools (Virtual Academy, Insight, IQ);
  • Ensures requests and receipt of records for newly enrolled students are being processed and tracked; prepares mass data imports for new Special Education students within prescribed time frames;
  • Processes parent contact and data information changes in Special Education systems;
  • Maintains school and State student-level databases;
  • Ensures 30 day IEPs that have been held are entered into SELPA system;
  • Alerts Directors to concerns from SELPAs;
  • Maintains inventory for DIS provider protocols and materials;
  • Maintains inventory for assistive technology;
  • Creates and maintains student Special Education files and other student records; audits for accuracy on at least an annual basis; establishes and maintains secure access to student records; ensures proper disposal of student records;
  • Serves as primary point of contact for families, teachers, staff, and other schools in regards to accessing student information and records;
  • Ensures all Special Education State reporting is completed in a timely manner; alerts the Special Education director to any issues regarding time line issues;
  • Ensures school personnel comply with the Family Educational Rights and Privacy Act
  • Fulfilling legal records requests.

Requirements

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent AND
  • One (1) year of related work experience OR
  • An equivalent combination of education and experience
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Professional experience using Microsoft Excel, Word, and Outlook
  • Experience using search engines (internet) for research
  • Experience using a student information system and/or other type of database
  • Detail oriented, able to identify errors in student data and information
  • Able to multi-task, get tasks done quickly and accurately
  • Customer service oriented
  • Flexible, team-player
  • Ability to pass required background check

DESIRED QUALIFICATIONS
  • Prior experience supervising a team
