Executive Assistant Role

This position reports to the District Superintendent/CEO of a midsize urban school district located in the Capital region of Upstate New York. The Executive Assistant is expected to implement innovative project and time management strategies that enable the Superintendent in improving the District in the areas of teaching and learning, equity, engagement and efficiency. The Executive Assistant serves as the primary point of contact for all school district internal and external stakeholders on all matters concerning the Office of the Superintendent. The Executive Assistant is tasked with managing the daily, monthly and annual operations of the Superintendent's Office. This position requires a high degree of trust, organization, and dependability.

Executive Assistant Expectations
  • Assists with project management and workflow of all District departments;
  • Ensures priorities are achieved daily, and that long-term requests are monitored and acted upon using a tracking system;
  • Manages the Superintendent's calendars/schedules;
  • Conceives and organizes internal activities including offsite meetings and retreats;
  • Executes day-to-day administrative tasks;
  • Provides general office management support;
  • Coordinates all special projects led by the Office of the Superintendent

Executive Assistant Key Qualities
  • Intuitive with the ability to be anticipatory and understand the needs of the Superintendent;
  • Ability to engage in systems thinking and handle multiple priorities at once;
  • Ability to work with a diverse group of individuals and teams to troubleshoot and problem-solve all issues related to the Office of the Superintendent;
  • Culturally aware, emotionally intelligent, self-motivated individual with excellent initiative and the type of attitude that thrives in in a fast-paced and creative environment;
  • Possesses a resourcefulness to accomplish any task, no matter how big or small;
  • Understands the importance of discretion and the need for honesty and fidelity;
  • Strong oral and written communication skills;
  • Desires to exceed expectations to achieve excellence on all tasks;
  • Excellent knowledge of office systems, technology and Microsoft office products.

Minimum Qualifications

(A) Graduation from a regionally accredited or New York State registered college or university with a Bachelor's degree and a minimum of three (3)years of experience providing support at the executive level or similar work experience; OR

(B) Graduation from a regionally accredited or New York State registered college with an Associate's degree and five (5) years of experience as defined by the limits of (A) above; or

(C) An equivalent combination of training and experience as defined by the limits of (A), (B) and (C) above.
