SUMMARY OF ASSIGNMENTS:

The special education department of Student Support Services consists of several secretaries. Each one is responsible for sharing the workload from the two Directors of Special Education, the coordinators, and the special education support staff. They must work in a team environment and perform a very large volume of work. They must be organized and complete work with deadlines and accuracy for the purpose of supporting the special education program.

RESPONSIBILITIES:

This position performs any or all of the following:

  1. Provide administrative support to the directors and program administrators with all matters pertaining to compliance with state and federal regulations to meet deadlines and the maintenance of special education confidential files.
  2. Examine paperwork of confidential files for proof of accuracy, missing information, and review of evaluation and IEP documents to ensure all required forms, notices, and reports are included and completed according to the standards for funding, monitoring, and auditor's requirements.
  3. Coordinate the organization of the confidential files by imaging, editing, and filing.
  4. Support special education coordinators and the support staff in maintaining various types of confidential information through software programs using File Maker Pro, student system data base, Web Extender, and spreadsheet and word processing software to create spreadsheets, lists, memos, and letters.
  5. Manage all functions for completing payroll by calculating hours, certify weekly sub hours, maintain forms, and interpret benefits and part-time grids with accuracy and to meet district timelines.
  6. Schedule and assign itinerant Paraeducators and Deaf Education Interpreters daily to fill special assignments with the direction of the Director.
  7. Collect data entry daily for the Medicaid program which includes performing Medicaid outreach and billing activities. Complete special education program forms.
  8. Support to Child Find program by maintaining files, taking information from parents, private schools and outside agencies and distribution of paperwork.
  9. Process purchase requisitions and reimbursements for staff, order supplies from the warehouse, complete print requests, order books, and testing materials online. Receive and distribute curriculum materials to schools and support staff with any associated data entry.
  10. Handle staff development clock hour forms by completing forms and arranging the schedules, advising staff, reserving rooms, ordering subs and follow-up with finished paperwork.
  11. Arrange travel requests to include travel forms, hotel reservations, airfare, and processing expense statements.
  12. Answer multi-line phone responding to inquiries and relaying messages with accuracy to appropriate personnel.
  13. Sort and distribute incoming mail daily.
  14. Serve as receptionist receiving incoming visitors and parents for scheduled testing of children, schedule conference rooms, and notify staff.
  15. Schedule work study, volunteers, and itinerants to assist with work coverage.
  16. Monitor maintenance repair and operation of office equipment.
  17. Coordinate the end-of-year process to check all confidential files for accurate data entry and filing of paperwork.
  18. Provide general support to the office staff keeping a high level of efficiency and cooperation.

MENTAL DEMANDS:

Experiences frequent interruptions; required to handle distraught students, parents, or community members. Required to handle difficult situations while maintaining professionalism. Required to adapt to shifting priorities and frequently re-channel work efforts; requires concentration and attendtion to detail.

PHYSICAL DEMANDS:

Exposed to visual display terminal for prolonged periods; dexterity and accuracy required in the operation of a computer; potentially exposed to ordinary infectious diseases. Lifting, bending, and kneeling.

QUALIFICATIONS:
  1. Demonstrated ability and aptitude to perform the responsibilities listed.
  2. High school diploma or equivalent.
  3. Additional secretarial/business education preferred.
  4. Three years of recent secretarial related experience.
  5. Type 50 words per minute accurately.
  6. Excellent skills in grammar, spelling, punctuation, organizational skills, and ability to work independently.
  7. Demonstrated ability to use computer software such as Word, spreadsheet programs required, PowerPoint, File Maker Pro, IFAS, student informastion system (i.e., PowerSchool) experience preferred, and other software related to job duties.
  8. Knowledge of office equipment specific to the position.
  9. Experience in working in a large office environment and the ability to present a positive image.
  10. Relates positively to youth and adults of varying socioeconomic, cultural, and ethnic backgrounds.
  11. Demonstrated ability to work positively and effectively with a diverse group of students, staff, administrators, volunteers, and the community in a confidential manner.

TERMS OF EMPLOYMENT:
  1. Work Schedule-Days and hours are subject to change depending on program and district needs.
  2. Benefits-Fringe benefits are provided for employees who work at least half-time (20 hours per week) or more in a regular position. Stipends are in accordance with the applicable collective bargaining agreement as negotiated.
  3.
