   License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Three years in an office/clerical environment required. Experience in a K-12 setting preferred.

Primary Responsibilities: Assist in the organization, support, and coordination of all aspects of the Instructional Support Office and eCLASS Development Office.

1. Perform general secretarial duties.
a. Draft and/or produce final copies of various types of correspondence, including but not limited to letters, memos, reports, and minutes of meetings.
b. Maintain an accurate schedule of activities for the Director of Instructional Support and Director of eCLASS Development.
c. Develop spreadsheets, graphs, charts, and presentations as needed.
d. Manage large projects and concurrent tasks effectively to ensure priorities are completed by the designated deadline.
e. Organize and maintain files, records, and other documentation for the Director of Instructional Support and Director of eCLASS Development.
f. Operate various office machines, including but not limited to copiers, computers, and presentation equipment as needed to ensure efficient and effective office operations.
g. Handle telephone calls and electronic correspondence from other departments, local schools, and constituencies and relay messages as appropriate.

2. Support the effective and efficient operation of activities conducted by the Director of Instructional Support and Director of eCLASS Development.
a. Plan and attend meetings on behalf of the Director of Instructional Support and Director of eCLASS Development in his or her absence or as otherwise directed.
b. Assist in the planning and execution of staff development training for local schools and central office staff and other events.
c. Assist in managing data for the office.

3. Perform departmental financial and accounting duties.
a. Maintain the departmental initiative budget and assist with initial preparation.
b. Prepare and maintain accurate and timely payroll and financial records and reports.
c. Assist in monitoring monthly budget printouts and submit balances for each line item to the Director of Instructional Support and Director of eCLASS Development.
d. Assist in developing budget amendments and travel requests and review all information for accuracy.
e. Assist in preparing and reviewing annual budgets for accuracy.
f. Utilize the district's processes for procurement of department supplies and materials.

4. Assist with updating and maintaining various web applications and website content, forms, and other electronic mediums to support departmental initiatives.
a. Assist with various software programs and pull data from programs as requested.
b. Assist with updating and maintaining various databases and records.
c. Assist with updating and maintaining electronic newsletters.

5. Communicate with all parties in a businesslike, courteous, and efficient manner.
a. Represent the division professionally in all aspects of communication.
b. Help cultivate a responsive and customer-centered climate.
c. Seek ways to be responsive to the needs of staff.
d. Handle internal and external customers graciously and effectively.
e. Direct inquiries to the appropriate division personnel as needed.
f. Route incoming and outgoing correspondence accurately.

6. Assist with new projects as assigned.

7. Perform other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds.
