SUMMARY :

Is confidential secretary to the Assistant Superintendent. Compiles and maintains personnel records by performing the following duties: schedules appointments, gives information to callers, takes dictation and otherwise relieves Assistant Superintendent of clerical work and minor administrative and business detail.

ESSENTIAL DUTIES AND RESPONSIBILITIES : Other duties may be assigned.
  • Answers telephone and gives information to callers regarding personnel.
  • Greets visitors, ascertains nature of business and conducts visitors to employer or appropriate person.
  • Compose letters, reports, minutes and/or charts from notes, verbal instruction, or independently from knowledge of situation or project.
  • Processes employment applications for all employees.
  • Maintains confidential files including all District employee personnel files.
  • Prepares outgoing mail for Director of Personnel, reads and routs incoming mail.
  • Schedules appointments for candidate interviews.
  • Responds to court subpoenas and inquiries from District personnel regarding employment records, status changes and other personnel matters.
  • Updates employee files to document personnel actions and to provide information for payroll and other uses.
  • Compiles data from personnel records and prepares reports.
  • Prepares proper paperwork for the beginning of school.
  • Compiles certification updates.
  • Assists with annual audit.

QUALIFICATION REQUIREMENTS :

EDUCATION AND/OR EXPERIENCE :

High school diploma. Prior secretarial experience preferred.

LANGUAGE SKILLS :

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees.

MATHEMATICAL SKILLS :

Ability to add, subtract, multiply and divide in all units of measure; using whole numbers, common fractions and decimals. Ability to compute hourly, daily and contractual rates.

REASONING ABILITY :

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES :

Ability to operate a personal computer and related software (Microsoft Office, Outlook, Adobe). Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.

While performing the duties of this job, the employee is almost continuously required to talk or hear. The employee is occasionally required to walk, sit and stand. The employee is occasionally required to reach with hands and continuously will repeat the same hand, arm or finger motion many times as in keyboarding. Specific vision abilities required by this job include close vision, depth perception and the ability to adjust focus.

Salary Range: From/To: Financial Secretary Scale: $31, 133-$47, 640 based on years of related, full-time experience. Additional salary as qualified: Level I Certificate 662.00 Level II Certificate 991.00 Bachelor's Degree 1, 320.00
