ABOUT THE POSITION
The Business Operations Coordinator is responsible for the coordination and day to day aspects school operations including school supplies, substitute teachers, accounts receivable and payable, compliance and logistical support for various functions. S/he will also provide the support necessary to ensure that the organization operational controls, administrative and reporting procedures are effective. The position is a full time, salaried, 12-month position and will report to the Business Manager.

Primary job duties include, but are not limited to the following:

Logistical Support
  • Collaborates with the Meridian Management Team in the orientation of new staff as well as in monitoring and supporting them
  • Monitor arrival and dismissal procedures as it relates to staff duties, student drop-off/pick-up zones
  • Supports various committees with coordination of set-up and logistical support that may require assistance from other departments
  • Manage the Automated Education Support Operations Program (AESOP) to ensure substitute coverage is arranged for classrooms and office support
  • Responsible for coordinating transportation and logistics for various programs and/or fieldtrips
Accounts Receivable and Payable
  • Review and verify invoices for all school purchases
  • Create purchase orders for purchases made by various departments
  • Review and reconcile monthly financial reports such as credit card statements, bank deposits and staff reimbursements
  • Manage the purchasing of supplies for two campuses and keep an accurate inventory system for adequate supplies
Administrative Support and Compliance Management
  • Monitor District of Columbia regulations, Office of State Superintendent of Education, Federal regulations and DC Public Charter School board compliance areas for the school
  • Create and submit various documents for reviewing to various department managers
  • Review and submit all items to various entities in a timely manner to ensure deadlines are met and compliance is maintained
  • Recommend improvements to stay compliant with the Charter School Laws and regulations
  • Provide support to the procurement policies and procedures to ensure compliance with charter school requirements
  • Collect and input data for various claims such as NSLP and FFVP for monthly submission
  • Support Business Operation team members with various administrative duties
Other Duties
  • Works with the Facility Department and outside contractors to help coordinate minor construction projects
  • Maintain records for the Business Manager as it relates to school documents
  • Participates in staff meetings and on various committees
  • Performs other duties as assigned
QUALIFICATIONS
Required Knowledge and Skills
  • Excellent communication skills, and the ability to communicate persuasively in positive and negative situations
  • Capacity to accept feedback from others, make decisions, and exhibit sound and accurate judgment
  • Able to work independently or with others in a team approach
Ideal candidates will have the following education and experience:
  • Associate's degree or Bachelor's degree preferred, and/or
  • Minimum of five years of experience working in a non-profit organization in Operations/Business Administration or Finance
  • Bi-Lingual in Spanish (speaking/writing) is preferred
  • Work comfortably with people from diverse backgrounds
  • Excellent organizational skills and timely completion of tasks
  • Math Aptitude: comfort with numbers and accounts payable
  • Knowledge and experience using Windows, Internet Explorer and Microsoft Applications including Word, PowerPoint, and Google Documents
  • Conscientiousness: Understanding that everything going out the door matters to the customer; striving for excellence
  • Solid writing skills
  • Customer Orientation: Good customer service skills with internal and external customers, attention to detail
  • Dedication: Being persistent, punctual and dependable, with a positive, can do attitude
  • Sense of Urgency: understanding the urgency of situations and address matters promptly
