SUMMARY OF ASSIGNMENTS:

RESPONSIBILITIES:
  1. While maintaining positive communication with staff, students, parent, and community - provide good customer service while ensuring required business related procedures. Bookkeeping duties include accounts payable/receivable, ordering materials and supplies, non-local travel including student bus tokens for TEC students as well as for field trips for the program. Tracks all gift acceptances and scholarship monies.
  2. Assist principal in distribution of district budget and monitor all expenditures made by each program manager. Coordinate and monitor vendor orders from numerous program managers for supplies, materials, and equipment and subsequent inquiries, book orders, etc. Advise principal of monthly balances using computer printout. Assist in the distribution of site's operating budget among departments using knowledge of costs and expenditures. Coordinate and monitor the discretionary allocation received by certificated staff. Receive all equipment and supplies for the school and maintain files for district purchase orders.
  3. Provide administrative support and oversee the efficient operation of business areas. Process a variety of contracts and bids for school projects. Answer phone and in-person inquiries from student, staff, parents, and the community in a positive, professional manner.
  4. Maintain accurate and complete inventory of site assets. Facilitate the distribution of equipment to designated areas. Complete inventory control for each piece of equipment and compare and verify accuracy with central services personnel. Coordinate transportation for instructional trips.
  5. Enforce proper accounting procedure for issuing of curriculum learning allowances to enrolled The Enrichment Cooperative (TEC) families.
  6. Prepare for the hiring of Community Based Contributors (CBC). Verify and process CBC hours of payment. Manage class fees for TEC students.
  7. Manage and maintain TEC library.
  8. Purchase curriculum, charge the student allocations, barcode reusable items, check curriculum for content and distribute materials using the WINGS system.
  9. Collect fees over and above student allotments.
  10. Collect fines and manage collections.
  11. Verify class add/drops and adjust fees if necessary. Keep files regarding add/drops.
  12. Manage school procurement cards. Obtain and file Memorandum of Understanding forms for all staff. Collect all receipts. Complete procurement card statement by assigning GL number and verifying accuracies.
  13. Provide backup for payroll.
  14. Prepare property transfer requests and forward to appropriate person/department.
  15. Prepare Meal Authorization forms and Direct Payment forms.
  16. Other duties as assigned and related to the position.


QUALIFICATIONS:
  1. Demonstrated ability and aptitude to perform the responsibilities listed.
  2. High school diploma or equivalent; additional related course work or business education preferred.
  3. Minimum of three years business or related secretarial and bookkeeping office experience.
  4. Computer software experience required (Word, Access, IFAS, Excel, Groupwise) for office management. Recommended PowerSchool and WINGS.
  5. Knowledge of additional office equipment specific to the position.
  6. Accurately type 60 words per minute.
  7. Demonstrated accuracy of current grammar, punctuation, spelling, word usage, proofreading, and statistics.
  8. Demonstrated accuracy in handling cash and record keeping.
  9. Demonstrated ability to communicate and present a positive image effectively with community, staff, and students and to exercise discretion and judgment in handling inquiries.
  10. Demonstrated ability to work effectively under stressful conditions in a busy office environment.
  11. Demonstrated organizational skills and ability to work independently.
  12. Demonstrated ability to oversee support staff.
  13. Willingness to work beyond regular work hours if contracted for extracurricular activities.
  14. Understanding and working knowledge of ALE (Alternative Learning Experience) rules.

TERMS OF EMPLOYMENT:
  1. Work Schedule-Days and hours are subject to change depending on program and district needs.
  2. Benefits-Fringe benefits are provided for employees who work at least half-time (20 hours per week) or more in a regular position. Stipends are in accordance with the applicable collective bargaining agreement as negotiated.
  3. Association Membership-Pursuant to the collective bargaining agreement between Spokane Public Schools and the Union, a newly-elected employee must either become a member of the association, pay an equivalent representation fee, or based on bona fide religious objections, pay an equivalent amount to a nonreligious charity mutually agreed upon by the employee and the association.
