Title of Position: Secretary, Exceptional Children Resources (Part-time, less than 30 hours per week)

Reports to: Director, Exceptional Children Resources

Description of Position:


This position is classified as a part-time casual/seasonal Secretary and is a member of the Exceptional Children Resources Group within the Academic Support team. This position will be under the supervision of the Director for Exceptional Children Resources. Duties include, but are not limited to the following:

Major Responsibilities Include:

  • Provide support in preparing monthly financial statements and shared funding reports to other state agencies.
  • Oversee and monitor all work group contracts with outside vendors.
  • Provide secretarial support to assigned Education Associates in the completion of their duties for Interagency Collaborative Team.
  • Coordinate and schedule meetings including room reservations, meals, associated budget accounting and typing/mailing agendas and notices.
  • Perform computer related operations such as creating, composing, editing, printing, saving and retrieving computer-generated documents. Other computer related functions to be performed might involve data management, creating tables, merging files and using electronic mail.
  • Prepare correspondence, memos, reports, meeting minutes and other written materials as necessary. This may include large mailings, which would involve preparation of original documents, duplication and assembling the packets for mailing.
  • Prepare such documents as out-of-state and in-state travel requests, reimbursements, purchase orders and payment vouchers.
  • Maintain appropriate files including legal files in compliance with Department requirements and procedures.
  • Communicate effectively with the public, staff, students and parents.
  • Perform other duties as requested.

Essential Qualifications and Skills:

Education :
  • A High School diploma or GED; some college coursework preferred

Experience:
  • Training and experience in word processing, filing, record keeping and general office procedures.
  • Experience with State financial management systems preferred.

Skills :
  • Ability to perform responsibilities with minimal supervision;
  • Ability to prioritize a wide range of tasks with competing deadlines and importance;
  • Skill in applying basic and advanced tools used in word processing applications;
  • Capable of setting priorities and working under pressure;
  • Excellent communication skills, handling questions and concerns with speed and professionalism;
  • Excellent interpersonal skills and the ability to deal with staff in a tactful, congenial and personal manner;
  • Discretion and confidentiality are essential.

Salary:

Salary will be computed in accordance with the education, experience, and training of the individual selected and in accordance with salary schedules for employees of the Department of Education. Direct deposit of payroll checks is a condition of state employment, and employees are paid on a lag pay schedule with the first payment made after approximately one month of employment.
