THE OPPORTUNITY

Lighthouse Community Charter School is looking for an HR Associate to support HR and Talent functions across our organization as a key member of the Talent Team. You will use your organizational and project management skills and attention to detail to ensure our HR functions, personnel records and data are well-maintained and result in high levels of employee engagement and satisfaction throughout their experience at LCPS. You will use your people skills to support recruitment and hiring functions including planning and hosting recruitment events and spreading the word about our job openings across our networks to help get great people for our schools. This is a perfect position for an emerging administrative professional who wants to grow their HR and talent recruitment skills in a mid-sized 200 employee educational organization. Roles and Responsibilities
  • Employee Engagement & Communication
    • Serve as a first point of contact for employees to navigate HR services communicating clearly and in a timely fashion regarding basic HR policies, and flowing up requests and complaints to HR Generalist or Director of Talent & HR as appropriate.
    • Respond quickly and professionally to all employee and manager questions and concerns demonstrating a high level of customer service, urgency, and discretion at all times.
    • Build and apply knowledge of LCPS HR policies and current CA, federal, and local employment law.
    • Plan and project manage employee engagement and appreciation initiatives in conjunction with the Talent Team.
  • Personnel Recordkeeping, Compliance, & Reporting
    • Work closely with HR Generalist and Director of Talent & HR to ensure maintenance of accurate personnel files both digitally in HRIS system and paper files as necessary, including compliance with requirements for continued employment (e.g. possession of appropriate credentials and intent to return for current employees) on a quarterly and annual basis.
    • Communicate with employees about personnel records and compliance; collect and file paperwork on regular basis related to maintaining employment eligibility.
    • Utilize and troubleshoot our HRIS/Payroll system (ADP) to maintain and manage personnel onboarding and records keeping, time off requests, time & attendance, benefits, and performance management.
    • Generate monthly and quarterly reports from HRIS related to personnel compliance (use of time off, possession of current TB and CPR requirements, etc) and flag issues of non-compliance to HR Generalist and Director of Talent & HR as appropriate.
    • Manage recordkeeping and reporting requirements to Office of Charter Schools.
    • Monitor non-exempt employee compliance requirements including breaks verification and schedules.
    • Respond accurately to requests by the EDD and others regarding employee records.
    • Support offer and addendum tracking and recordkeeping for all prospective and returning employees including ensuring all addendums and offers are tracked and filed accurately.
  • Administrative Support
    • Provide a variety of administrative support services to the Director of Talent & HR, including: ordering & coordinating refreshments, preparing copies/supplies, and set up/clean up for meetings and hiring events; filing & maintenance of key HR & Talent files; booking and ordering of transportation, translation services and other supplies as needed; mailings and delivering and collecting HR documents from sites.
    • Provide administrative support for executive hiring as needed, including: scheduling, preparation of interview materials, communications with hiring team members, and support on interview days.
  • Employee Benefits & Wellness
    • Collaborate with HR Generalist to conduct open enrollment for benefits and communicate about benefits options with employees.
    • Support submission of ACA filing as required to IRS and employees in conjunction with HR Generalist.
    • Plan and execute employee wellness and engagement initiatives in conjunction with the Talent Team.
  • Support Onboarding and Offboarding Processes:
    • Support and project manage employee engagement initiatives for pre-boarding and optimizing new employee experiences including design & creation of employee welcome packages.
    • Coordinate the collection and processing of all new employee paperwork and records including I-9, fingerprint verification, TB and CPR/First Aid, and any required licensure for all school based employees to ensure eligibility for employment in conjunction with the HR Generalist.
    • Coordinate the collection and processing of departure paperwork and as appropriate conduct exit interviews for departing employees in conjunction with other Talent team members.
  • Recruitment & Hiring
    • Maintain up to date job postings of all LCPS open positions across a variety of job boards, list servs, social media, etc.
    • Support selected hiring managers with recruitment, posting, paper screening, and some phone screens for open positions during the hiring season or for mid-season hires as needed.
    • Work closely with Teacher Talent & Recruitment Specialist and External Relations Coordinator to plan and host hiring and recruitment events for LCPS family of schools and attend and table at selected job fairs and other recruitment events hosted externally.
    • Support screening and outreach to potential candidates who come to us via job pools (TFA, Teach Oakland, LinkedIn, etc) and reach out to passive candidates to cultivate them.
  • Other duties as assigned by supervisor


Supervision:
  • Reports to: Director of Talent & HR


Minimum Qualifications:
  • AA or equivalent, required; BA/BS, preferred
  • 3+ years administrative experience preferably in an education or non-profit setting
  • 1+ years of experience in HR or recruitment functions, preferred
  • Familiarity with HR and employment law, preferred
  • Experience working in schools or with youth and families, preferred
  • Strong computer skills: Google Apps, Excel, HRIS or ATS systems, and other computer and database systems preferred
  • Spanish fluency a plus


Time Commitment:

This is a 12-month full-time, exempt position (220 days). This role is expected to maintain minimum building hours of M - F from 8:00 - 5:00 p.m. or as agreed by supervisor. Includes approximately 5 weeks in breaks/holidays as aligned to the school year calendar and 10 days of paid time off (PTO). Can be taken outside of summer and other holidays with supervisor approval.
