Part Time Manager/Supervisor of Records Coordinators

The Chicago Public Schools (CPS) has set ambitious goals to ensure that every child in every school and every neighborhood has access to a word-class learning experience from birth, resulting in graduation from high school, college and career-ready. This position supports the CPS schools, networks, and administrative offices through a process to ensure compliance with departmental and Board of Education policies and procedures and legal requirements.

PRIMARY JOB RESPONSIBILITIES

  • Oversee and manage a small team of Records Coordinators
  • Train new Records Coordinators as needed to complete records-related tasks as provided by the Law Department Records Management Unit
  • Review work completed by Records Coordinators to ensure compliance with record retention requirements and records management procedures for sorting, organizing, documenting, storing, and transferring records as provided by the Law Department Records Management Unit
  • Review, sort, pack, document, and transfer records to other CPS location(s) and/or vendors as required to ensure all tasks are completed in accordance with established deadlines; confirm completion of work at the end of the project
  • Facilitate vendor record collections in coordination with the Law Department Records Management Unit
  • Report status and progress as requested


TYPE OF EDUCATION AND EXPERIENCE REQUIRED

  • 5-10 years of experience as a leader or administrator in an urban school setting (CPS experience preferred)
  • Familiarity with CPS student and business records (preferred)
  • Principal Transition Coordinator (PTC) experience at CPS a plus


KNOWLEDGE, SKILLS AND ABILITIES

  • Demonstrates a sense of urgency in accomplishing goals and objectives to ensure success
  • Proven experience in leading large projects to successful implementation and outcomes
  • Possesses excellent analytical and organizational skills
  • Excellent communicator in speaking, listening, and writing skills
  • Proven ability to facilitate and motivate change to achieve results
  • Proven experience in the development and maintenance of effective working relationships
  • Ability to handle the physical requirements necessary to complete all tasks, including the ability to lift and/or move boxes and files between 30-60 pounds, sit, stand, walk, stoop, kneel, and climb stairs
  • Able to travel to various schools and other CPS sites as needed
  • Knowledgeable of current policies and procedures of the Board of Education of the City of Chicago
  • Proficient with current suite of enterprise applications used by the Chicago Public Schools (Dashboard, IMIPACT, Oracle, TALEO, etc.)
