This position performs skilled data management and data preparation.

High school diploma or general education (GED); business school or other training as legal secretary, legal assistant or in paralegal field is desirable; four years of experience as a legal secretary, legal assistant or paralegal; or any combination of experience and/or training that would provide the following knowledge, abilities, and skills:


  • Thorough knowledge of modern office terminology, procedures, and equipment including microcomputers, word processors, and calculators; excellent English usage and correspondence writing skills.

  • Thorough knowledge of school system programs, policies, and regulations.

  • Ability to work under pressure and make decisions in accordance with laws, ordinances, policies, regulations, and established procedures.

  • Ability to take and transcribe dictation as needed and type according to current requirements.

  • Ability to meet and work with top level officials with tact and diplomacy and to work well with others.

  • Ability to maintain complex clerical records and prepare reports from such records.

  • Ability to work independently without supervision and ability to supervise others when required.

  • Knowledge of or interest in legal issues affecting education.

  • Ability to follow complex written and oral directions.

BASIC FUNCTION/NATURE OF WORK:

This is highly skilled work involving the exercise of judgment and discretion as executive assistant to School Division Counsel. Assistant Division Counsel, law clerks and staff. The work includes performing a wide variety of paralegal and secretarial tasks in a highly sensitive environment. The work is performed under the general supervision of Division Counsel.

DUTIES & RESPONSIBILITIES/ILLUSTRATIVE EX OF WORK:


  • Works collaboratively with all stakeholders in providing a World-Class Education.

  • Prepares and processes legal documents, pleadings and papers, such as letters, memos, subpoenas, motions, complaints, agreements, and grievance responses.

  • Is conversant with the rules and procedures of the state and federal courts, and state and federal administrative agencies.

  • Reviews legal publications and performs database searches to identify laws and court decisions relevant to pending cases, assists with the preparation of legal memos.

  • Prepares legal materials for School Board meetings and maintains strict confidentiality.

  • Maintains logs of all pending and closed lawsuits, administrative claims and similar legal matters.

  • Assists in collecting information such as employment, medical, and other records and communicating the same to outside legal counsel.

  • Maintains Division Counsel's calendar, makes appointments as instructed, and arranges meetings when necessary.
    Fields calls and emails from school principals, teachers and other staff and provides legal responses where appropriate.

  • Triages other matters for attention of Division Counsel.

  • Assists in the preparation of legal training materials for staff, including production of power point presentations.

  • Handles incoming and outgoing telephone calls; communicates with general public via telephone, personal contact, and written correspondence using tact and diplomacy.

  • Handles or refers inquiries concerning operations and policies.

  • Communicates with other departments, supervisors, and schools pertaining to integrated work.

  • Organizes and maintains document and case fil, as well as confidential files.

  • Mails, faxes, or arranges for delivery of legal correspondence.

  • Attends legal meetings, such as interviews, hearings, or depositions, and takes notes.

  • May direct, supervise, or coordinate the work of others, particularly law clerks and interns in the Office of Division Counsel; maintains the proper flow of the office.

  • Receives and opens mail; gathers information needed to draft response for School Division Counsel's signature.

  • Possesses strong decision-making skills and excellent judgment.

  • Keeps abreast of changes in county, state, and federal policies relating to Office of Division Counsel's interaction with individual departments and offices.

  • Maintains and updates electronic database and software programs, tracks documents and maintains confidentiality.

  • Maintains budget control checks and assists Division Counsel in preparing quarterly reports relative to legal services and expenses.

  • Performs other duties as assigned.



SALARY:
$44,517 - $101,995/year ($23.74 - $54.40/hour)
