Salary Range: $20.42-$24.51 per hour ($39,206-$47,059 annually, non-exempt)

Essential Functions and Objectives:

Performs administrative and project management duties within the Financial Services Department

- Manages, prioritizes and schedules administrative tasks, responsibilities and special projects.

- Maintains communication with department leadership of prioritization, status and timing of special projects.

- Handles matters related to human resources and finance that are confidential in nature and used in negotiations with internal and external stakeholders, including, but not limited to, financial and strategic District bargaining information.

- Processes mail.

- Processes Requests for Funds.

- Reviews time and attendance for Controller's Office, Treasury and Budget.

- Prepares materials for meetings.

- Prepares daily deposit.

- Prepares and maintains calendars for Leadership positions and consolidated team activities.

- Schedules meetings, training and conference rooms.

- Creates and processes internal and external correspondence and documents.

- Ensures the regular maintenance or repair of general office equipment by initiating contact with various vendors.

- Prepares announcements/newsletters, media releases and department organization charts.

- Reconciles purchasing card.

- Updates the DPS external and Commons websites for Financial Services.

- Performs general office duties by purchasing supplies and equipment for department employees; setting up work stations; and coordinating with DoTS and Phone staff to ensure that each employee has all the technical access needed to perform their jobs.

- Assists schools and departments by answering phone and email questions and directing inquiries to proper staff or department.

- Processes invoices.

- Makes and coordinates travel arrangements.

- Assists in the hiring process by obtaining lists of qualified applicants, scheduling interviews, new-hire. paperwork, resignation and termination paperwork.

- Files paper and electronic documents.

- Updates org charts, distribution lists, seating charts, offsite storage records.

- Develops and maintains departmental templates.

- Supports development of District's Comprehensive Annual Financial Report.

- Supports development of District's annual Budget Guidance Manual.

- Other duties as assigned.

Knowledge, Experience & Other Qualifications:

- At least 3 years of work experience in project coordination, business, or other related field.

- Three (3) years of progressive experience working in a similar office environment.

- Experience in planning, organizing and executing activities and projects.

- Must thrive in a team environment and be able to work well collaborating with others.

- Experience working under pressure and in a fast-paced environment working within tight deadlines.

- Demonstrates diplomatic and communication skills in English, with an emphasis on communications with students, parents, collaboration with decision making teams, and diverse, multicultural communities.

- Advanced proficiency with Microsoft Office products (e.g. Excel, Word, and PowerPoint).

Education Requirements:

- High School Diploma or GED. Preferred postsecondary classes in business, accounting, office procedures or other related field.
