GRANTS & SPECIAL PROGRAMS ACCOUNT SPECIALIST

PURPOSE:
Under the direction of the Executive Director of Student Services, provide support in the area of business and administrative assistant services.

LOCATION: This position is located in the central administration building.

WORKING CONDITIONS: Full-time (1.0 FTE) position.

ESSENTIAL DUTIES & RESPONSIBILITIES
Includes but is not limited to:
  • Maintain records and reporting related to grant fundsAssist and support billing and payment for identified accountsMaintain accurate records regarding program budgetsPrepare documentation and report data to the Illinois State Board of Education and Federal Government for the purpose of providing written support, conveying information, and complying with Federal and State regulationsComplete Medicaid Administrative Claiming reports, for the purpose of gaining fiscal resources;Monitor and submit necessary reports/forms for Medicaid Fee for ServiceDevelops, recommends and implements approved procedures for receipts, custody, disbursement of funds, student accounting, transportation, physical, internal auditing and budgetary control proceduresMaintain accurate records and accountaining for Maintenance of EffortCoordinate service provider trackingMaintain the operation of the department - including proper maintenance of all office equipment, answering, prioritizing and responding to telephone and written communicationsMaintain confidentiality at all times; handle sensitive and confidential documents, communications, incidents, etc., with discretion and in a conscientious mannerAssist the department administrator by coordinating the accurate and efficient dissemination of all necessary information to the staff, parents and school communityCommunicate information proactively and share information with appropriate people in a timely mannerPreparing correspondence, presentations and other materials for departmentPrepare departmental reports - may include Board Reports, State Reports, Federal Reports and Grant ApplicationsMaintain all files and resources in departmental office and storage areasProcess departmental ordersTrack departmental budgets and expendituresMaintain departmental calendar including scheduling meetingsMaintain and update records including:
    • Special education database and special education filesMaintain inactive student filesPrepare student files for transferring to disc. Maintain microfilm filesRetrieve requested student files from microfilm or disc

PHYSICAL DEMANDS:
This position requires the ability to lift and carry up to 15 pounds of materials. It also requires the use of a computer, good vision, hearing, and speech for effective communication.
