The Talent Management Team in the Office of Human Resources is responsible for the recruiting and staffing functions of the organization, and is committed to the development of a high-performing diverse and talented workforce. The Project Specialist, Staffing Operations serves as the primary data steward for our applicant tracking system (SearchSoft), our substitute management system (AESOP), and our proprietary MS Access staffing database and vacancy tracker. The Project Specialist conducts additional operational tasks necessary for the Talent Management team to operate effectively and efficiently.

Salary:
Support Exempt Salary Schedule, Level 5 (starting at $57, 853)

- Bachelor's degree or equivalent work experience required.

- Demonstrated proficiency with MS Office suite of products required; ability to develop MS Access queries, and experience managing applicant tracking system and/or HRIS management software preferred (especially SearchSoft, PeopleSoft, AESOP).

- Ability to work collaboratively as a team player, under pressure with multiple competing deadlines, and with culturally, educationally, and racially diverse customers.

- Ability to perform quality assurance checks on record sets, including writing queries to find anomalies and root causes of problems.

- Proven ability to author standard operating procedures for information systems, and to implement the procedures.

- Proven ability to work with software vendors to troubleshoot issues.

Residency Requirements: City of Pittsburgh Residency Required

Essential Job Functions:
1. Designs and builds annual Staffing Database, including key data tables, queries, staffing reports, and school rosters (utilizing MS Access).

2. Determines staff building seniority, displacements, and transfer eligibility according to provisions described in collective bargaining agreement.

3. Stays abreast of, communicates, and recommends opportunities to utilize new features of applicant tracking system and substitute management systems.

4. Facilitates operations related to paraprofessional and summer program staffing.

5. Maintains Vacancy Tracker database including debugging errors and adding features as necessary.

6. Compiles and shares metric-based reports related to applicant pools and substitute coverage to members of Talent Management Team.

7. Prepares and sends various staffing correspondence emails.

8. Compiles information that facilitates the entry of transfers into HRIS system.

9. Trains the Project Assistant, Staffing Operations and Recruitment & Staffing Assistant to serve as super-users of applicant tracking system, and serve as back-up super-user on the system itself.

10. Troubleshoots technical issues independently and with support from vendors.

11. Performs other responsibilities as assigned by supervisor.
