ABOUT YOU  
As the Operations Coordinator (OC), you are directly accountable to the Operations Director and serve on the high school operations team of Chicago Collegiate (grades 7-10), working to ensure that all students are demonstrating dramatic student achievement gains and demonstrating the character traits and intellectual habits needed to succeed in the college of their choice, lead in their communities and change the world.

What your day to day might look like
Instructional Responsibilities:
  • Parent Teacher Conferences: Partner with the Principal, Operations Director, and school leadership to drive logistics leading up to and on the day of parent teacher conferences, ensuring that 90% of families are present for conferences within 2 weeks of scheduled time.
  • After-School Enrichment: Responsible for implementation of after-school enrichment programming, including sign-ups, payment, space assignments, snack program, equipment, etc.
  • Testing Support: Provide logistics support of ANET, PARCC and NWEA testing across all grade levels. Support the Operations Director and other staff to ensure teachers have the necessary materials and information (e.g. testing kits, login information) to implement assessments successfully.
  • Trips & Special Events: Support the Operations Director and school Leadership Team by managing on-the-ground logistics coordination for school trips and events - including scheduling, set-up, parent communication, acquisition of any materials, etc.
  • School Culture Initiatives: Support the Principal and school leadership in initiatives to foster a strong, joyful school culture that is focused on the path to college graduation, e.g. 100 Days celebrations for students, Teacher Appreciation Week, data and student work displays, etc.
  • Other Support: Provide on-the-ground logistics support as requested by school and network leadership for other planned and unplanned operational needs.
Logistical Responsibilities:
  • School-Wide Systems: Help manage the implementation, execution, and maintenance of school-wide systems as directed. Systems may include, but are not limited to: morning arrival, dismissal, bathrooms, lunch/recess, class transitions, homework collection, etc. (Sample responsibilities could include managing duties during transition times, ensuring hall passes are always well stocked, preparing and delivering daily Silent Lunch rosters, etc.)
  • Signage and Bulletin Boards: Implement and maintain systems that ensure all signage public boards are branded, aligned with our values, advancing Collegiate goals and culture, and updated on a regular basis.
  • Supplies: Utilize systems and accounts to procure school supplies for teachers. Build and distribute supply kits at the start of the year; manage the school's supply and asset inventory ongoing.
  • School Facilities and Infrastructure: Support school set-up for the start of each new school year, particularly in areas of responsibility such as supplies/signage/systems, to ensure classrooms are ready to go and fully set up by the first day of school. Ongoing throughout the year, manage systems for reserving and using shared/common spaces and maintaining those spaces to high standards of cleanliness and organization.
  • Technology & Equipment: Manage all student-facing technology at the school, including setting up student email accounts, and provisioning and managing student Chromebooks and their systems for tracking and repair/replacement. Also manage copiers, printers, and other equipment at the school site (and their associated supplies) to ensure they are always functional for staff use. Lead on-the-ground troubleshooting as needed for tech issues (e.g. calling the appropriate people in case of an internet outage or copier break-down).
  • Food Service: Monitor and coordinate daily student food service. Serve as the point of contact and on-site manager for Gourmet Gorilla servers, review and enter meal data weekly and follow up to resolve any issues, and ensure school's documentation and other compliance requirements are always fully up to date.
  • Busing Service: Operate as point of contact for daily student busing service. Manage sign-ups, invoices and payments, and bus rosters. Troubleshoot any issues with buses as needed.
  • Uniforms: Procure and distribute initial uniform order for the school year and any uniforms needed to be directly provided by the school to students throughout the school year. Design and manage in-classroom loaner uniform system.
  • Student Jobs: Design, implement, and manage Student Jobs program to utilize student interest and capacity in supporting the needs of the school.
Financial Responsibilities:
  • Accounts Payable : Receive and process invoices from vendors, coding appropriately and submitting for payment on a weekly basis. Ensure accuracy and timeliness of invoices and payments, as well as all other required documentation. In addition, manage school staff to ensure all credit card transactions are appropriately coded each month and documentation is submitted.
  • Accounts Receivable: Manage systems for processing and receiving all forms of income such as checks, credit card payments, and cash. Code all transactions and submit required paperwork to accounting team. Make deposits on a regular basis and provide supporting information for all deposits.
  • Petty Cash : Maintain petty cash itself and log for transactions, submitting to financial firm as required.
  • Bank Reconciliation : Assist in weekly reconciliation of all bank transactions and in review and providing monthly bank statements. Respond to queries in a timely manner and collect, file, and submit all supporting documentation for each transaction.
  • Audit and Tax Support : Assist as requested by the COO, financial firm, and our accountants/auditors in preparing for and providing any information needed during our annual audit and tax filings.

    • Comfort with (and/or eagerness to learn) financial reports and systems
    • Ability to work well with others across an entire school, including building strong relationships and influencing action
    • Strong customer service orientation
    • Ability to lift up to 50 pounds to carry around boxes and supplies, as well as being on your feet for a number hours per day, climbing up and down multiple flights of stairs, etc.
    • Proficiency with Microsoft Office (and/or Google Suite counterparts) 
    Nice-To-Haves
    • Experience working in a school in a low-income community (in instruction and/or operations) highly preferred; teaching experience preferred
