Position Summary:
Under the general supervision of the Supervisor of Payroll, this position performs technical and clerical
work involving the preparation and maintenance of payroll records.
Qualifications:
1. High school diploma, G.E.D., or any combination of education and experience equivalent to graduation
from high school, supplemented by courses in bookkeeping, accounting or a related position.
2. Previous experience and/or training which would provide the required knowledge, skills, and abilities to
perform varied accounting procedures and related clerical functions.
3. Proficiency with Microsoft Office Suite, primarily Word and Excel.
4. Excellent customer service skills, verbal and written, for interaction with employees, co-workers and
vendors.
5. Ongoing evidence of physical competence to perform assigned responsibilities may be required from a
qualified physician.
6. An applicant who has had prior experience in a related position must have a performance rating acceptable
to Stafford County Public Schools for such experience.
Knowledge, Skills, and Abilities:
1. Detailed knowledge of the Enterprise Resource Planning System (ERP).
2. Knowledge of the Virginia Retirement System (VRS), tax sheltered annuities, garnishments and voluntary
deductions.
3. Knowledge of Stafford County School Board financial management policies and procedures.
4. Knowledge of standard accounting principles, terminology, methods, procedures, and equipment.
5. Thorough knowledge of standard office procedures and practices.
6. Ability to operate computer and other standard office equipment.
7. Ability to follow detailed procedures and perform mathematical computations with accuracy.
5. Knowledge of Stafford County School Board Payroll & Benefit policies and procedures.
6. Demonstrate skill in the operation of a variety of office and data processing equipment.
7. Demonstrate effective time management and organizational skills.
8. Demonstrate initiative.
9. Demonstrate ability to use appropriate written and verbal communication; thorough knowledge of English
grammar and usage.
10. Demonstrated dependability.
11. Ability to work independently with minimal supervision.
Key Duties and Responsibilities:
1. Reconcile and process monthly payroll reports from assigned locations.
2. Process monthly changes and complete balancing for assigned employee deductions.
3. Coordinate with vendors and VRS on matters relating to employee and employer deductions.
4. Setup and maintain contracted, substitute and hourly employee payroll files in ERP.
5. Process and maintain leave records.
6. Maintain employee records (i.e. budget codes, contracted pay amounts, supplemental pays, deduction
codes, ABT codes, tax changes, annuity changes, etc) for monthly processing of payroll.
7. File monthly payroll changes.

12. Assist with preparation and reconciliation of year/fiscal end reports.

Procedures.

15. Serve as an optimal role model for students, colleagues, and general public.
