Job Summary:
Provides administrative support to designated functional area(s). Manages the day-to-day operations of the functional area(s) and ensures the effective coordination of both technical and administrative support.

Essential Functions:
  • Provides administrative support to designated functional area(s).
  • Functions as a member of the project team(s) with responsibility for identifying and assessing the administrative support needs for complex projects and ensuring the provision of support and resources for effective project completion.
  • Performs administrative full-life cycle support activities as assigned.
  • Provides administrative support and training on processes and procedures.
  • Responsible for establishing positive working relationships with all employees, department administrators, peer organizations and other representatives from other school districts to ensure effective collaboration of resources and information in support of the functional area(s).
  • Works collaboratively within the Office of Human Capital staff regarding completion of assignments.
  • Coordinates schedules as required to ensure preparation for meetings and events.
  • Provides document preparation support in the development of program schedules, materials, flyers, brochures, videos, power point presentations and other related materials.
  • Screens and handles requests and inquiries as deemed appropriate. Processes sensitive and confidential information.
  • Composes and drafts correspondence, researches and prepares reports.
  • Prepares and oversees the maintenance of procedures and filing systems.
  • Performs and promotes all activities in compliance with equal employment opportunity commission and non-discrimination policies; follow federal, state laws, regulations and school board policies and the professional standards.


Qualifications:
  • Associate's degree from an accredited college or university with coursework in human capital, business, public administration or related field.
  • Two years' relevant experience in Human Capital or related field.
  • Other equivalent combinations of applicable education, training and experience that provide the knowledge, abilities and skills necessary to perform effectively in the position may be considered.
  • Experience in using Human Capital Information systems (HCIS) such as iRecruitment, Taleo, Oracle, or PeopleSoft strongly preferred.
  • Knowledge of Human Capital best practices and principles.
  • Skills in planning and coordinating administrative and/or clerical functions.
  • Excellent interpersonal and organizational skills.
  • Excellent oral and written communication and presentations skills.
  • Advanced skills in the use of Windows environment and applications including Microsoft Word, excel, PowerPoint, Microsoft Publisher and Outlook.
  • Ability to function independently and exercise appropriate judgment and discretion in providing administrative and technical human capital support.
  • Ability to collect, compile and analyze data, assemble information, and prepare reports.
  • Ability to effectively interpret and communicate human capital policies and procedures.
  • Ability to establish and maintain effective working relationships with associates, officials and employees.
  • Ability to prioritize, plan, and execute multiple, complicated and continuing assignments in a timely manner.
  • Ability to maintain confidentiality with sensitive information.
  • Ability to remain flexible in a creative and challenging work environment.
  • Ability to proactively manage and maintain data integrity in the HCIS.
