Position: Program Assistant - Child Nutrition Services #3055 Closing Date: March 1, 2018

Qualifications:
  • 30+ postsecondary education credits in accounting or finance, or related field or four years any combination of work experience in accounting, bookkeeping or statistical duties
  • Proficiency in Quick books preferred
  • Proficiency in the State of Delaware's First State Financial System (FSF) preferred
  • Comprehensive knowledge of accounting and record keeping procedures
  • Shows evidence of knowledge regarding practices know to be effective in financial management and reporting
  • Knowledge of School Nutrition Federal guidelines preferred
  • Demonstrates good attendance record
  • Demonstrates effective written and verbal communication skills
  • Intermediate proficiency in technology software including Microsoft Office Applications in Excel and Word
  • Ability to establish and maintain effective working relationships with district personnel, vendors and the public
  • Ability to coordinate workload to meet schedules/deadlines
  • Ability to exercise tact, discretion and confidentiality with a pleasant, cooperative attitude
  • Minimal amount of weight lifting required
  • Must be able to stand and work continuously for a minimum of 4 hours per work day.
  • Must report to work on time every work day, except as afforded by existing law
  • Must perform all duties as assigned during scheduled work day

Math: 62% success rate

Excel: 60% success rate

Typing: 45 wpm

Proofreading: 60% success rate

Duties:
  • Prepare and maintain all financial reports: Such as monthly bank reconciliation, monthly profit and loss statements, daily and monthly income report, monthly federal reimbursement report, monthly food and non-food cost report,
  • Prepare and maintain annual financial report and annual DOE labor report
  • Completes monthly profit and loss statements including aging and set of other reports using Quick Books
  • Completes monthly invoices for School for the Deaf and other organizations as needed
  • Prepares procurement contracts for food, non-food and capital equipment and services
  • Enters all deposits, insufficient fund, debits and vendor payments into Quick books
  • Manages commodity accounts payable IV's
  • Records vendor invoices into accounting system (FSF)
  • Prepares and coordinates encumbered purchase orders
  • Manage federal grant budgeting and reporting for FFVP and other federal programs
  • Completes required records for all new hires
  • Maintain employee changes to include location and position changes, terminations, LOAs, and benefit orientation

Responsibilities:

This employee is responsible to the designated administrator(s) and performs financial/clerical and other duties in any or all of the areas below
  • Maintains the Department financial expenditures and revenue in FSF and Quick books
  • Prepares financial reporting for the Department based upon established schedules/deadlines
  • Performs related financial and other duties as assigned by administrator(s)
  • Maintains the Department purchase order system and purchase order procedures
  • Maintains employee records, supporting documentation and hardcopy files as required
  • Exercises good judgment and confidentiality in conformance with district policy
