SUMMARY: Assist the Student Data Privacy and Reporting team in the systems, procedures, documentation, and training to support FERPA and district student data privacy policies, as well as assist the Instructional Data Reporting team in the RITS, October Count, and October Count Audit processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Adhere to district policies regarding the privacy and protection of student data and serve as district resource for staff with regard to privacy policies and practices.

R-19: Become familiar with and assist the Student Data Privacy and Reporting team in the systems, procedures, documentation, and training to support FERPA and district student data privacy policies, as well as assist the Instructional Data Reporting team in the RITS, October Count, and October Count Audit processes.

-R-20: Display advanced skills in assisting the Student Data Privacy and Reporting team. Ability to develop and Implement systems, procedures, communications, documentation, and training for FERPA and district student data privacy policies. Ability to successfully manage areas of the RITS, October Count, and October Count Audit processes.

Manage a high volume of telephone calls and email from school personnel and identify, troubleshoot and resolve software and district procedural problems relating to student data privacy, enrollment, and state reporting processes. Interpret, make decisions and consult with District staff when necessary to resolve problems.

Assist the Student Data Privacy and Reporting team with systems, procedures, documentation, and training to support FERPA and district student data privacy policies, including communications.

Assist in the Instructional Data Reporting team with the development and implementation of procedures, communications, documentation, and training for the RITS, October Count, and October Count Audit processes.

Daily contact with classified and professional staff within/outside the department, students, parents and vendors/contractors to establish and maintain relationships and resolve student data privacy and confidential matters.

Perform other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required, plus related course work through a recognized business, vocational or community college.

EXPERIENCE:

R-19: At least 1 year of experience with student data privacy, student records, and/or skills related to data management and reporting. Advanced computer software experience, with focus on Microsoft Office applications (Word, Excel & Access). Knowledge in student information systems and student enrollment policies/procedures.

R-20: At least 2 years of experience with student data privacy, student records, and expert technology skills related to data management and reporting. Proven skills in developing and implementing procedural documents related to student data privacy, as well as state and federal reporting and submissions.

SKILLS, KNOWLEDGE, & EQUIPMENT: Requires excellent oral and written communication; general office management skills; interpersonal, phone etiquette; advanced computer skills with knowledge of Microsoft Office software suite (Microsoft Office Word, Excel, Access, PowerPoint); Google apps (Drive, Docs, Sheets, Slides); e-mail; calendar scheduling; and general office equipment at time of hire. Knowledge of Infinite Campus preferred. Ability to problem solve, use good judgment, diplomacy and work effectively under pressure with a high level of confidentiality and flexibility. Requires in-depth knowledge of State laws related to data privacy, state submissions, and accreditation, District policies, department procedures and organizational structure. May be required to take the District Skills Assessment Test as part of the application process.

CERTIFICATES, LICENSES, & REGISTRATIONS: Requires valid Colorado's Drivers' License and auto insurance upon hire.

SUPERVISION/TECHNICAL RESPONSIBILITY: This job has no supervisory responsibilities. This position serves as a technical resource for District administrators and staff throughout the District by providing support, answering questions, and solving issues related to the Student Data Privacy & Reporting Departments.

CONTACTS: Daily contact with persons within/outside department/building, students, parents, vendors or suppliers, and the general public to maintain relationships. Occasional contact with citizen or public organizations/agencies or State and Federal agencies to resolve problems, obtain information, and maintain relationships. Contacts are regarding routine matters involving problems and confidential information or data under the direction of Student Data Privacy & Reporting.

SAFETY TO SELF AND OTHERS: High exposure to self to repetitive motion injuries due to keyboarding and low exposure to self to cuts and bruises due to typical office accidents.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, talk or hear. The employee is frequently required to stand, walk, stoop, kneel, or crouch. The employee is occasionally required to climb or balance. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.

WORK ENVIRONMENT: The noise level in the work environment is usually moderate.

MENTAL FUNCTIONS: While performing the duties of this job, the employee is regularly required to communicate, coordinate, compute, use interpersonal skills and compile. The employee is frequently required to compare, analyze, copy, synthesize, evaluate and negotiate. The employee is occasionally required to instruct.

JUDGMENT AND DECISION MAKING: Work is assigned by Student Data Privacy and Reporting Departments, as well as through individual requests. Requires independent judgment to proofread/process student data materials for district-wide distribution to meet school/district timelines/deadlines. Work is guided by District policies, department procedures and State or Federal laws. Work typically involves collaboration with departmental staff, schools, Colorado Department of Education and State agencies. Errors in independent judgment could lead to loss of confidence in or impact the image of the District or division and impact school and District accreditation by the Colorado Department of Education. Supervisor or project manager is involved in decisions.

DIVERSITY OF DUTIES: Position will cross over the District regarding pertinent information relating to Student Data Privacy and Reporting Department. It will require tact and diplomacy to maintain relationships, resolve problems, and negotiate matters often involving high confidentiality in a timely manner. Must be able to serve as a technical resource for District staff regarding student enrollment data and data privacy and requires knowledge and ability to use computers and software programs including specialized software (SIS, RITs, Google forms, etc.).
