Administers the Facilities web based applications; provides instruction and end-user support. Analyzes problems and issues related to the applications. Coordinates usage among division wide system users. Produces a variety of statistical reports and ensures compliance by users with established work flow requirements. Moderately complex work is performed within specific departmental objectives and policies. Employee works independently and coordinates with others as necessary.  
 

Essential Job Functions:
  • Administers application security (authorization, access passwords, etc.) for the purpose of regulating access to web-based applications.
  • Develops user materials (e.g. FAQ, training support handouts, field definitions, etc.) for the purpose of providing instruction, conducting training and reference. 
  • Instructs school division, Parks and Recreation and Facilities staff on the use of the facilities web-based applications upon implementation, including new users and system changes.
  • Supports the integration of information with other applications to maximize the efficiency of data flow and decrease redundancy of data collection activities. 
  • Designs report options and/or data extracts for use by individual school and department users and facilities leadership staff. 
  • Create and maintain adhoc and automated reports.
  • Creates and provides ad hoc and scheduled reports for the purpose of analyzing work flow and providing statistics for planning. 
  • Maintains a high level of knowledge of best practices in web-based applications, training and reporting environments among peer and other K-12 institutions.
  • Participates in the development of the department's strategic goals and direction.
  • Serves as the HELP DESK for end users.
  • Responses to emergency calls; informational calls; initiate work orders as required; dispatch emergency personnel.
  • Manages departmental cell phone requirements to include inventory, procurement, monitoring usage and reviewing invoices.  Assists employees to resolve issues and function as liaison to Verizon.
  • Serve as Technology liaison for the department. Maintains hardware and software inventory. Assists, instructs and trains employees with technology issues prior to escalating to Technology Department for resolution. (computers, printers, scanner, I-pads, all software for facilities employees)
  • Performs other related duties as assigned.

Qualifications:  
Working knowledge and understanding of departmental policies, procedures, and work flow of Facility Services. Considerable skill in the use and support of business applications and the use of personal computers, spreadsheets, word processing, database software (Excel, Word and Access preferred) as well as  internet browsers.  Demonstrated ability to: troubleshoot problems and provide end-user support; understand, interpret and apply guidelines and regulations; prepare and conduct employee training; make accurate mathematical calculations and reconcile reports; communicate effectively, both orally and in writing with a diversified staff and at all levels within and outside the organization.  Demonstrated ability in problem solving, decision making, conflict resolution, long range planning and forecasting.
 
Required: Education, training, or experience sufficient to demonstrate the required knowledge, skills and abilities. 
Preferred: Familiarity and or working knowledge of Dude Solutions Software, Timeclock Plus, GPS Tracking Software,  Inventory Software or other automated time clock software.
