  License and Certification Qualifications: None required.
Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.
Experience Qualifications: Three years in an office/clerical environment required. Experience in a K-12 setting preferred.
Skills Qualifications: Ability to communicate with others in an effective and professional manner; interpersonal skills to work successfully with internal and external contacts; excellent skills in organization and time management; ability to manage multiple projects simultaneously and with limited supervision; professional-level oral and written communication skills; ability to work as an effective team member; ability to follow oral and written instructions quickly and accurately; strong editing and proofreading skills; strong bookkeeping/accounting skills; strong computer skills with a working knowledge of the Microsoft Office Suite; ability to learn new software packages; flexibility to adjust to meet deadlines; excellent telephone and public relations skills; and ability to represent Gwinnett County Public Schools (GCPS) in a positive and professional manner.
Primary Responsibilities: Provide assistance in the organization, coordination, and implementation of functions within the Health and Physical Education Office and provide world-class customer service to all audiences.
1. Manage concurrent tasks effectively and complete assignments by deadlines.
2. Facilitate arrangements for meetings and professional development classes.
a. Schedule and set up professional development courses and maintain professional learning records.
b. Facilitate professional development when applicable and needed.
3. Anticipate and effectively support supervisor's job related needs.
a. Generate reports to provide data analysis for various programs.
4. Handle routine matters in a professional manner in the absence of supervisor.
5. Maintain an effective and efficiently run office.
a. Maintain records and files in an efficient, orderly, and accurate manner.
b. Generate documents, copies, and other resources as needed.
6. Assist in maintaining the Health and Physical Education Department budget by performing various financial and accounting duties.
a. Monitor monthly budget reports.
b. Assist in developing accurate budget amendments and travel requests.
c. Assist in preparing and reviewing annual budgets for accuracy.
d. Process purchase orders and invoices via the PeopleSoft system in a timely manner and maintain current school budget balances.
e. Submit miscellaneous payroll and other accounting tasks as required.
f. Administer the procurement of supplementary materials to include textbooks and other instructional materials.
7. Cooperate with and demonstrate a positive relationship with division, department, and other district employees.
a. Communicate information concerning the health and physical education program to a variety of audiences, including parents, community, and school-based personnel.
b. Serve as the first line customer service contact for the Health and Physical Education Office, including the use of the health and physical education website and related resources.
8. Support the Director of Health and Physical Education by being knowledgeable of department programs and procedures.
9. Perform other duties as assigned.
Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
