Position Description/Job Summary
The Bookkeeper will perform duties associated with the effective financial operation of the school for the school activity fund. This position requires a high degree of accuracy, accountability, and confidentiality. All bookkeeping and record keeping must be in accordance with local, state, and federal guidelines.
Responsibilities/Duties/Functions/Tasks:
Accounting, Reporting and Audit
- Have and apply advanced knowledge of accounting principles and procedures.
- Complies with and promotes the accounting policies and procedures put forth in the Student Activity Fund Manual.
- Oversees the fiscal accounts of the school using the accounting system.
- Ensure receipts and disbursements are correctly input to online accounting software.
- Prepares journal entries to properly record revenues or expenditures.
- Actively communicate with Principal about financial procedures/processes including weekly reports.
- Submits taxable fringe benefit reporting to Department of Finance by established deadlines for the purchase of clothing for employees.
- Prepares for the annual audit with completed checklist, required documentation, delivery of audit records to designated location by due date, and upload of required reports to RCPS shared drive.
Banking
- Maintain the bank account.
- Prepares the monthly bank reconciliation by established deadlines, including supporting documentation that agrees to the bank reconciliation.
- Collects and deposits money daily.
- Use My School Bucks to collect funds made with debit/credit cards.
Procurement & Accounts Payable
- Understand and adhere to federal, state, and local procurement laws/policies.
- Administers the Purchasing program for the School, including but not limited to Sam's Club Members, Amazon Membership, County-Issued P-Cards.
- Facilitates the overall use of funds with staff and the principal.
- Prepare purchase requisitions and/or orders for approval.
- Create and/or process invoices and reimbursement requests.
- Make purchases of equipment and supplies as needed.
Other
- Attend organizational office meetings.
- Attends bookkeeper professional development sessions provided by the Department of Finance to ensure up to date knowledge in activity fund accounting and software as well as an array of district wide RCPS procedures that impact the bookkeeping function in the schools.
- Assist with preparing field trips and fundraisers.
- Oversee vending activities.
- Maintain records accurately and abide by the Library of Virginia Records Retention and Disposition Schedule.
- Use a variety of office equipment: computer, printer, copier, fax, paper cutter, shredder, adding machine, multi-line telephone, stapler, scanner, etc.
- Remains current in skills necessary for assignment, including technology.
- Interact daily with students, staff, vendors, and visitors.
- Other duties, as needed or assigned by the Principal.

Education and Experience:
- Bachelor's degree required with major in accounting, finance, or related field
- Minimum of three (3) years of bookkeeping preferred.
