General Description

Provides secretarial support to school office. Performs variety of moderately complex work within established procedures and standard practices. Work is under general supervision and requires extensive coordination with others. Some specialized knowledge of the department is required. Contacts are made within and outside the organization and may require dealing tactfully with individuals on sensitive issues. Accuracy and exercise of sound judgment is required.

Essential Job Functions

Essential Job Functions:
  • Registers and processes all required paperwork for new students.
  • Withdraws and processes all required paperwork for students leaving school system.
  • Maintains cumulative and confidential records for all students.
  • Screens visitors, telephone calls and incoming mail; personally answering inquiries which in the employee's judgment do not require the supervisor's attention.
  • Types, assembles and disseminates lengthy reports, handbooks, correspondence, etc.
  • Acts as information specialist to public, students and faculty regarding a variety of matters related to school operations and policies.
  • Maintains good rapport with students, staff and parents.
  • Handles accounting duties for school lunch program, time, attendance and purchasing.
  • Prepares reports and furnishes information requested from within and outside the organization.
  • Performs clerical and routine work required to ensure the efficient operation of the school office.
  • Performs other duties as assigned.

Equipment Operation:

Reprographic, telephone switchboard, fax, computer and general office equipment

Administrators, teachers, support personnel, students -daily - to obtain and provide information.

Work Environment:

The employee regularly works in an office environment. The noise level in the work environment is quiet to moderate.


Working knowledge of office practices and procedures; the school or department's programs; business English and mathematics. Working skill in typing, operating personal computers, word-processing equipment or other automated office systems. Demonstrated ability to perform a variety of secretarial duties for one or more professionals; communicate effectively both orally and in writing; exercise judgment and work with all levels of the school or department.


Education, training or experience sufficient to demonstrate the required knowledge, skills and abilities. Bilingual - Spanish strongly preferred.
