POSITION TITLE
Student Supply Clerk II

JOB DESCRIPTION SUMMARY
The Student Supply Clerk II is directly supervised by the School Principal and is responsible for assisting in all clerical duties within a school building.

ESSENTIAL FUNCTIONS
1. Organize and maintain school supply room inclusive of anticipating the needs of students, teachers, and staff members, and keeping supplies on hand without interruption.
2. Requisition general supplies, books and periodicals, computer equipment, furniture, etc. utilizing PPS People Soft Data Base and maintaining budget worksheets and all other pertinent documents.
3. Receive and distribute school supplies to appropriate personnel.
4. Pay all building invoices utilizing PPS People Soft Data Base. Methods of payment include Voucher Requests, P. Cards, Petty Cash, and Maintaining Receipts in People Soft.
5. Maintain Site Based and Medicaid Funds by keeping accurate documentation of all building financial expenditures on Budget Worksheet logs.
6. Process budget transfers to accommodate specific purchases and to maintain and update said records.
7. Process and maintain Maintenance Agreements on pertinent building equipment and make calls for necessary repairs.
8. Process and maintain all paperwork relative to Procurement Card Purchases, including maintenance of bank statements, transaction logs and transfer of expenses between account lines for all building purchasing card holders. This involves taking the necessary steps and phone calls to have tax charges removed from all receipts, and orders.
9. Periodical running of budget/financial reports to check the status of all transactions and to insure that budget worksheets are in balance with budget reports.
10. Make bank deposits, maintain and file bank receipts in addition to recording in School Cash Net.
11. Maintain school check book: write checks for reimbursements and payments, record all activity in School Cash Net.
12. Balance Bank Statements and transactions and record in School Cash net.
13. Quarterly reporting for School Controller, Office of Finance, and the Assistant Superintendent.
14. Ensure school reimbursements and prepare all paperwork for petty cash expenditures and
reimbursements.
15. Stamp/receive books.
16. Shelf maintain, and organize books for storage in the bookroom.
17. Pack and dray obsolete books, furniture, etc. to Board Warehouse and/or other schools as necessary.
18. Enter suspensions into data base.
19. Send suspension notices to parents and maintain suspension notice files. Long term suspension notices require certified mailing which is done by physically taking notices to the U.S. Post Office.
20. Process requests for student records (retroactive to year 2000) for Social Security Administration,Criminal Justice System, private attorneys, other Pittsburgh Public Schools, Dept. of Public Assistance,and other social agencies.
21. Process and maintain transcripts per request on student enrollments and graduations, retroactive to year 2000.
22. Maintain and record all lost books by students and collect monies as applicable. This also involves creating and mailing notices to parents and the home school.
23. Mailing quarterly progress reports to parents.
24. Answer phones and direct calls
25. Monitor security camera and operating system to screen and scrutinize the entrance of visitors into the building
26. Distribute bus tickets to students at the end of the school day, and throughout the day to those with shortened schedules or early dismissals
27. Dispense cell phones to students with shortened schedules or early dismissals
28. Unlocking bathrooms when there is no coverage in the halls
29. Administering early dismissals which involves making phone calls to parents or guardians to verify and confirm the early dismissal
30. Direct students to the offices of counselor, social worker, school security, etc.
31. Checking to see if students are physically in school per the request of parents, guardians, social workers, and care providers
32. Responding to inter-corn requests as teachers need classroom assistance and to locate students in the building
33. All other general office duties.
34. Other relevant duties as assigned by supervisor in support of the department's or school's goals and objectives and the District's mission and Superintendent's Priority Goals.

EDUCATION REQUIRED
• High School Diploma or GED (General Education Development)

KNOWLEDGE, SKILLS, & ABILITIES
• Proficient in all Microsoft applications, including but not limited to, Word, Excel, PowerPoint.
• Familiar with Munis, Pinnacle, RTI.
• Strong oral and written communication skills.Enthusiastic about the fundamental goal of advancing student achievement in an urban public school district.

• This position is primarily sedentary in nature. Employee will be required to operate computer system for data entry, and have the ability to complete necessary paperwork. This position requires minimum physical effort and is not subjected to Occupational Health and Safety risks.

This position requires individuals to live in the territorial boundaries of the School District of Pittsburgh. If hired for this position you will be required to establish residence within three calendar months of your hire date with Pittsburgh Public Schools.
