Who We Want

As a Leaves Analyst you will report to the Manager of Employee Services, be a part of the Human Resources Department and a member of the Salary, Benefits and Leaves Team. The Leaves Analyst will be part of a transformational project underway to replace our employee information system, and redesign our business processes to better meet the needs of our employees as it relates to leaves administration. While continuing to ensure processing of employee leaves of absence requests in compliance with company policies, relevant labor laws, and regulations. You will serve as a subject matter expert in leave management and provide guidance to employees and managers regarding leave policies, procedures, and benefits. Your role will involve accurately documenting leave cases, ensuring timely processing, and maintaining confidential employee information. You will collaborate with various internal stakeholders to facilitate smooth leave administration.

Job Duties

We expect our Leaves Analyst will:
  • Leave Processing: Receive, review, and process employee leave requests, including but not limited to medical leaves, family leaves, parental leaves, and other applicable leaves as per company policies.
  • Documentation and Record-keeping: Accurately document and maintain leave-related information, ensuring completeness and confidentiality. Create and update employee files, databases, and records pertaining to leaves of absence.
  • Policy Compliance: Ensure adherence to company policies, employment laws, and leave regulations (e.g., FMLA, ADA, state-specific laws). Stay up to date with any changes in legislation that may impact leave administration.
  • Employee Guidance: Act as a point of contact for employees and managers, providing guidance on leave policies, procedures, eligibility, and benefits. Address inquiries and concerns related to leave management in a timely and professional manner.
  • Coordination: Collaborate with HR, payroll, benefits, and other relevant departments to ensure seamless coordination of leave administration processes. Communicate effectively to facilitate timely and accurate leave processing.
  • Reporting and Metrics: Generate reports, maintain leave-related metrics, and provide periodic updates to management regarding leave utilization, trends, and compliance.
  • Continuous Improvement: Identify process gaps and inefficiencies and propose solutions to streamline leave administration. Contribute to the enhancement of leave policies, procedures, and systems to improve overall effectiveness and efficiency.
  • Training and Education: Conduct training sessions for employees and managers on leave policies, procedures, and best practices. Stay informed about industry trends and best-in-class leave management practices.
Knowledge, Skills and Abilities:
  • Familiarity with HRIS systems and leave management software is highly desirable.
  • Strong attention to detail with excellent organizational and time management skills.
  • Ability to maintain confidentiality and handle sensitive employee information with discretion.
  • Excellent written and verbal communication skills, with the ability to effectively interact with employees at all levels.
  • Strong problem-solving skills and the ability to make sound decisions in complex leave cases.
  • Demonstrated ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Continuous learning mindset to stay updated on changes in leave regulations and industry best practices.
Minimum Qualifications

These minimum qualifications establish the education, training, experience, special skills and/or license(s) which are required for employment in the classification. Additional qualifications (i.e. special conditions) may apply to a particular position and will be stated in the job ad.

Possession of a baccalaureate degree from an accredited college or university, and one (1) year full-time equivalent experience performing professional-level analytical work. Qualifying professional-level analytical work includes analysis, development, administration, and reporting in major programs and functions of an organization in areas such as budgets, contracts, grants, policy, or other functional areas related to the duties of positions in the 182X Class series.

Substitution:

Possession of a graduate degree (Master's degree or higher) from an accredited college or university with major coursework in specialized subject matter areas such as public or business administration, management, business law, contract law, public policy, urban studies, economics, statistical analysis, finance, accounting or other fields of study closely related to the essential functions of positions in the Class series may be substituted for the required one (1) year of experience.

Additional experience as described above may be substituted for the required degree on a year-for-year basis (up to a maximum of 2 years). Thirty (30) semester units or forty-five (45) quarter units equal one year.
