This is a Permanent Exempt (PEX), full-time position for up to three years. This position is excluded by the Charter from the competitive Civil Service examination process, is considered "at will" and shall serve at the discretion of the appointing officer. If applicable, an exempt employee must participate and be successful in a Civil Service examination process for this classification and be selected through an open competitive recruitment process to be considered for a permanent appointment.

Positions in this class are distinguished from classes in the executive secretary series by exercising the broadest level of independent judgment, decision-making, and action in providing sensitive, complex, and confidential administrative assistance to the superintendent of the school district, which maintains approximately 130 schools and numerous educational programs serving 50,000 students. Appointments to the positions are exempt from civil service pursuant to Charter Section 10.104, and incumbents serve at the pleasure of the Superintendent.

As the Executive Assistant to the Superintendent, you will report to the Superintendent and be a part of the Superintendent's Office. You will help to lead the Superintendent's Office transformational work to deliver on the district's five-year Vision, Values, Goals and Guardrails .

Under general direction, the Executive Assistant functions as a confidential secretary or executive assistant to the Superintendent of Schools, which is the highest level executive administrator in the San Francisco School District. They will perform a wide variety of complex, confidential, and sensitive administrative support work involving a high degree of responsibility for public contact with school officials, including the Board of Education, District managers and staff, the public, students and parents. They may assign, supervise, and review the work of clerical and/or secretarial personnel in the Superintendent's office.

According to Civil Service Commission Rule 109, the duties specified below are representative of the range of duties assigned to this job code/class and are not intended to be an inclusive list.

Examples of Essential Duties:
  • Prioritize the superintendent's schedule: Work closely with the superintendent to understand their priorities and ensure their time is spent on the highest-priority tasks and activities. This may involve proactively identifying potential conflicts or scheduling issues and finding ways to manage them. Re-prioritize the superintendent's schedule as needed to accommodate changing needs or urgent requests
  • Manage the superintendent's schedule: Manage the superintendent's calendar, schedule meetings, appointments, and travel arrangements. Ensure the superintendent knows their schedule and has all the necessary information for their appointments
  • Prepare the superintendent: Ensure that the superintendent is prepared to be effective in each of their meetings by briefing them on the attendees, and organizational, political, and social dynamics
  • Attend high-stakes meetings: Accompany the superintendent to high-stakes meetings, take notes, and follow up with attendees on the outcomes and tasks from the meeting
  • Manage communications: Respond to emails, calls, and other forms of communication on behalf of the superintendent. Prepare and proofread correspondence and other documents
  • Organize meetings and events: Coordinate and organize meetings, conferences, and events for the superintendent and other school district officials. This may involve booking meeting rooms, arranging catering, preparing materials, and ensuring high-quality implementation
  • Manage projects: Manage special projects or initiatives for the superintendent or the school district, including coordinating with other departments, preparing reports, and ensuring on-time and within-budget completion
  • Provide administrative support: You will be responsible for providing administrative support to the superintendent, including managing expenses, preparing reports, and handling other administrative tasks
  • Manage clerical staff: May assign, supervise, and review the work of clerical personnel and student interns employed in the office of the Superintendent
  • Performs additional duties as required

Minimum Qualifications

Experience: Five years of responsible experience as an executive secretary or executive assistant in a large, dynamic organization, preferably in a large public sector environment.
