The Attendance Specialist will serve grades K-12 and will assist with management of documenting attendance, collecting and verifying absence excuses, running and reviewing attendance and truancy reports, and preparing truancy communications and materials for attendance and/or truancy meetings in conformity with the philosophy and policies adopted by VPREP Indiana, the rules of the governing Board, State Board of Education, the provisions of law, directives of the Administration and sound administrative practice.

Responsibilities:
  • Gather and assess attendance data. To include monitoring of the school attendance email box and phone line; entering attendance notes into PowerSchool log entries and making necessary attendance changes within PowerSchool; and identifying students requiring the appropriate attendance communications as noted in the VPREP Indiana attendance and engagement policy.
  • Maintains a variety of attendance records, schedules, and files for the purpose of documenting and/or providing reliable information. To inlcude interpretation of statistical data relating to attendance patterns of groups within the school for administrative planning.
  • Oversees and conducts weekly attendance review meeting with student success team.
  • Manage communication with parents and students to discuss and document attendance issues. To inlcude email, phone, and text.
  • Prepare and send truancy communications and schedule appropriate attendance meetings in a timely manner upholding compliance with the VPREP Indiana attendance and engagement policies.
  • Oversee attendance meetings and monitor attendance intervention plans.
  • Collaborates with administration on complex attendance issues and escalates attendance issues and trends to administration.
  • Collaborates with student success coaches, school counselors, and administration to assist students when additional student support or agency referrals are needed.
  • Conduct appropriate agency referrals in relation to attendance and truancy upholding compliance with the VPREP Indiana attendance and engagement policy and Indiana Compulsory Attendance Codes.
  • Perform all other duties as assigned.
Skills/Qualifications:
  • High School Diploma required, Associate degree or beyond preferred.
  • Attendance and/or truancy experience in the K-12 educational setting. Prior experience working in a school setting preferred.
  • Proficiency in Microsoft Office and Google Suite Products
  • Ability to handle confidential information responsibly and exhibit sound judgment while maintaining that confidentiality.
  • Demonstrates a reliable, dependable, and trustworthy work ethic.
  • Ability to manage difficult or emotional client situations.
  • Excellent written and oral communication skills.
  • Ability to work well under pressure, effectively prioritizing and executing tasks to meet deadlines consistently.
  • Customer service oriented
  • Ability to learn new technologies and acquire new skills through independent study, professional training, and from more senior team members.
  • Ability to work independently and contribute to a team.
  • Ability to work remotely, as well as in an office setting.

  • Ability to pass federal and state criminal background checks.
