ROLE SUMMARY

The Director, Facilities Maintenance and Safety will oversee the provision of high-quality facilities preventative maintenance and repairs and safety and emergency preparedness management at Alliance school sites and Home office, helping to ensure secure, healthy and thriving environments for scholars and staff that facilitate 21st-century learning. This position will report directly to the Vice President, Operations and will lead the development, enhancement, and implementation of systems and processes that will increase efficiency and support of 26 campuses across Los Angeles.

ESSENTIAL RESPONSIBILITIES

Provide a best-in-class building maintenance and management program that supports all Alliance campuses.
  • Analyze operation of school sites to develop a comprehensive functional framework for the facilities process, including clearly defined role and responsibilities, procedures and supporting resources;
  • Oversee the planning and facilitation of training and professional development of custodial and other specified school site personnel in key facilities management topics and processes;
  • Oversee the work order system for service requests at school sites; revamp or establish new tools, processes and procedures to improve engagement and communication with schools and to help monitor and resolve tickets in a more timely manner;
  • Design and implement a preventative maintenance program to keep assets running efficiently across all 26 campuses, enhance cost efficiency, and keep operational disruptions at a minimum; oversee the selection, set up, training and implementation of supporting software system;
  • Negotiate large-scale vendor contracts, tenant improvement and consultant contracts;
  • Regularly review and assess vendor contracts, purchase orders, and facility repairs to ensure quality, cost effectiveness, timely resolution and alignment with core values;
  • Seek opportunities with local, state, or federal programs (grants funding) for the efficient and sustainable operation of facilities through the reduction of water, power, and gas at school sites;
  • Work in collaboration with the Director, Project Management to ensure all buildings are fully permitted according to local requirements, including but not limited to, zoning/CUP (Conditional Use Permit) approvals, surveys, building permits and approvals, and ADA compliance;
  • Prepare and oversee the Home Office facilities preventative maintenance and safety budget;
  • Perform other duties as assigned by the Vice President, Operations.
Ensure Alliance schools maintain a safe and secure environment for students, employees and visitors
  • Work collaboratively with school site and Home Office operations staff to ensure all schools have fully developed safety plans that are updated annually;
  • Oversee the development (or revision) and administration of network-wide safety and security policies and procedures that cover key issues including, but not limited to, access control, lock-down, accident prevention, disaster preparedness, fire safety, emergency notification and management, parking control and traffic enforcement;
  • Confirm that all policies and procedures comply with federal, state, district and local laws and regulations;
  • Oversee the annual permitting and inspections process for all Alliance campuses, including but not limited to elevator, fire, alarm, and FLS testing;
  • Consult regularly with education sector colleagues and security and safety industry professionals in regard to up-to-date security operations and best practices;
  • Schedule regular meetings with school site administrators, and security and other specified school site and Home Office staff to keep them informed of current information and ensure that policies and procedures are being followed and solutions to problems have been adequately addressed; provide staff training as needed;
  • Ensure that safety and security-related issues are included in annual facility inspections and that any identified issues are addressed in a timely fashion.
  • Provide direct support to schools as needed in times of emergency.
Lead the Home Office Facilities Team
  • Supervise two on-site Managers, On-Site Facilities Technician, and one Coordinator, Facilities Maintenance & Safety, ensuring accurate and timely completion of project deliverables;
  • Manage the development and professional growth of direct reports and cultivate a positive team culture;
  • Delegate appropriate tasks and projects to team members and direct these team members to the tools and resources needed to meet individual goals and deliverables;
  • Review team members' work and provide ongoing, timely, relevant and constructive feedback.
THE IDEAL CANDIDATES WILL HAVE
  • Commitment to the mission of Alliance College-Ready Public Schools
  • Knowledge of urban school systems, school environments and school culture;
  • Familiarity with school and or commercial building systems, school operations, standard building plans, and state and local safety regulations;
  • Proven project management skills with the ability to translate strategies from plans to action, and to implement them with strong attention to detail;
  • Proven track record of effective leadership and ability to navigate complex issues and drive strong performance results;
  • Ability to work cross-functionally in a multi-layered organization;
  • Strong interpersonal skills, with a customer service orientation and a successful record of developing relationships with a variety of internal and external stakeholders;
  • Exceptional strategic thinking skills with an understanding of the impact that different approaches have on organizational culture and performance;
  • Strong written and verbal communication skills, including the ability to convey information to a variety of audiences (e.g., large groups, staff meetings, executive briefings, public board meetings, memos);
  • Fluency with Excel, Word, PowerPoint and other office and project management software;
  • Entrepreneurial spirit to thrive in a fast-paced and achievement-oriented environment;
  • Willingness to go above and beyond to contribute to the success of a dynamic team committed to a new future for urban education.
MINIMUM QUALIFICATIONS
  • At least four (4) years of progressive professional work in a related field and a Bachelor's Degree or higher from an accredited college or university;
OR
  • At least six (6) years of progressive professional work in a related field and a High School diploma or equivalent (e.g. G.E.D.);
  • Functional knowledge of online work order management systems and/or ability to quickly adapt to new computer programs and software;
  • Experience in school facility maintenance and/or operations is highly desirable;
  • Direct supervisory experience strongly preferred.
WORK LOCATION

This position is a hybrid role that will include a combination of working from a home office in the greater Los Angeles Area, our network office, and travel to school sites. The successful candidate will be given a $400 work from home set-up allowance and receive a monthly stipend of $100.

COMPENSATION AND BENEFITS

In alignment with our commitment to equity for our scholars, Alliance is committed to equity and transparency for our team and offers competitive salaries commensurate with experience as well as generous retirement and health benefits. This position is exempt/nonexempt
  • Compensation: Alliance provides a competitive salary. Based on relevant prior work experience, our salary range for this role is $100,000 - $140,500 .
  • Relocation : Individuals residing outside of the Greater Los Angeles area are eligible for a relocation bonus of $5,000 for individuals and $7,500 new staff with families/partners.
  • Health Insurance: Medical, dental, and vision plan options that are covered at 100% of monthly premiums for individual employees and at least $1,000 per month towards medical family plan premiums. Please click HERE for more information on health insurance.
  • Retirement: Alliance Home Office employees are eligible for a retirement allowance equal to 7.5% of their regular yearly earnings. Please click HERE for more information on retirement.
  • Paid Leave: Regular full-time 12-month employees accrue vacation at a rate of 10 hours/month for a maximum of 180 hours in addition to 10 national holidays as well as a week for Spring Break and a week for Winter Break.
  • Professional Development: At Alliance, we believe in supporting staff growth and development. Home Office staff are allocated $500 per year for professional development expenses.
