  • The position is responsible for the leadership and direct supervision and management of the athletic and activities program at a large (AA) high school. The Secondary School - Director of Student Activities will supervise up to 125 coaches and sponsors in over 50 sports, clubs and other activities. The position will coordinate all athletic programs with the two middle school assistant athletic directors. The DSA is directly responsible for the school calendar and all use of the building and grounds. The DSA shall serve as the school representative to the Virginia High School League, Jefferson District, and Region 4D and shall be the compliance officer for all VHSL rules and regulations for all VHSL sports and activities. The DSA shall be responsible for the transportation of all athletic teams and student groups.

    Essential Job Functions:
    • Manages the athletic program, including in conjunction with the principal, hiring and evaluating all coaches.

    • Fundraising - The DSA shall have an understanding of and commitment to private and corporate fundraising. The DSA shall organize and create a community wide fundraising program to support all activities.

    • Schedules all events within the building, including athletic contests, drama productions, concerts, assemblies, dances, fund-raiser, club and SCA activities, including the necessary game or event workers, police, officials and custodians.

    • Handles the budget and finances for the program, including depositing all funds from gate receipts, student equipment fees, and other funds and completion of all required receipts and records. Paying all bills as due and paying all officials and event workers, including the completion of all required payroll forms.

    • Handles all field trips, including the completion of all required forms and approvals, and scheduling transportation for all athletic teams and other student groups.

    • Publishes the school calendar and schedules for the students, staff and community.

    • Schedules all non-school and community use of the building, including the completion of building use forms with the facilities department, scheduling custodial coverage and heat and air for the events.

    • Coordinates the middle school athletic programs with the two middle school athletic directors.

    • Coordinates award programs and nominations for many out of the school awards.

    • Serves as the school representative to the VHSL, appropriate district and region.
    • Chairs and serves on the school crisis team and school safety committees.

    Budgetary Responsibility:
    • The DSA may handle over $300,000 in funds from gate receipts, student equipment fees and fund-raisers, including the proper depositing of these funds and the completion of all required records and receipts. The DSA shall complete all non-contractual forms for all event workers and non exempt coaches and sponsors. The DSA shall coordinate payment through the payroll department of all event staff, coaches and sponsors, including the preparation of payroll forms. The DSA shall pays all bill as due, including the timely submission of requisitions. The DSA shall coordinate and supervise all fund-raisers involving the school. The DSA shall develop a yearly activities budget to be submitted by July 1st of each school year to the principal.


    Fundraising

    The DSA shall have an understanding of and commitment to private and cooperate fundraising.
    • Developing strategy and soliciting major gifts from individuals and/or firms, corporations, and foundations. Identifying, cultivating, and managing a large pool of prospective donors.

    • Constructing a set of activities and initiatives leading to the solicitation of major gifts. Working with volunteers to identify individual, corporate, and foundation prospects.

    • Participating in strategic planning, working with volunteer and advisory boards, communications and public relations planning; serving as an organizational liaison in planned giving, corporate and foundation relations.

    • Stewarding alumni involved with major initiatives, to include follow-up visits as needed, and working creatively to successfully close pending solicitations.

    • Working with the boosters' club to formalize annual plans, and developing strategies for achieving school's major gift goals.

    Report Preparation:

    The DSA shall be responsible for completing all required school forms/reports including: VHSL master eligibility lists, VSL membership forms and participation forms, district and regional reports and forms, ticket report forms, game financial reports, building use forms, payroll forms, non-contractual forms, coaches evaluations, transportation forms, field trip forms, and all activity form.

    Equipment Operation:

    The DSA shall have a working knowledge of field maintenance and lining equipment and operate personal computer and general office equipment.

    Contacts:

    The DSA shall conduct frequent contact as necessary with multiple persons within the school, community, region and state on a daily basis including: students and staff members within the school, coaches and sponsors, school administrators, parents, community members, boosters, media, newspapers and TV, Virginia High School League, officials, coaches and athletic administrators from other schools, central office personnel, sales representatives, and transportation staff and bus drivers.

    Work Direction:

    The DSA shall provide work direction for: coaches, sponsors, game and event workers and custodians.

    Supervision:

    The DSA shall have supervisory responsibility including evaluating over 125 coaches and sponsors of athletic teams and school activities and supervises all game and event staff.

    Decision Making:

    The DSA must be able to maintain a high level of independent decision making.

    Work Environment:

    The work involves inside and outside activities in varied weather conditions with possible exposure to unusual elements, such as extreme temperature, dirt, dust, fumes, unpleasant odors and/or loud noises. The work environment involves minimum exposure to physical risk.

    Knowledge/Skills/Abilities:

    The DSA shall have considerable knowledge and understanding of:
    • the operation of the athletic and activities program at a large public high school

    • VHSL, Orange County and local school rules and regulations and policies

    • turf and field management

    • coordinating all student activities

    • working skill in the use of a personal computer utilizing online scheduling and calendar systems. Demonstrated ability to:

    • work effectively with a wide range of constituencies; to communicate effectively, both orally and in writing

    • multitask on a constant basis

    • handle money and financial reports properly

    • supervise a large and varied staff in multiple sports and activities and to implement rules and regulations and policies

    Requirements:

    Bachelor's degree from an accredited institution; Master's degree preferred. Eligible for a Virginia teaching license; Administration and Supervision endorsement preferred. Building level leadership experience or equivalent experience and training sufficient to demonstrate the required, knowledge, skills, and abilities. Experience working in a secondary school preferred.

    Formal Policy-Setting Responsibilities:

    The DSA shall be responsible for setting policies for coaches and athletes within the athletic program and sponsors and students in various other school activities. The DSA shall be responsible for interpreting and implementing Orange County, Virginia High School League, district, regional and school policies as the policies pertain to athletics and activites.
