Role Overview
The Operations Manager will design and implement systems supporting a wide-range of needs within the Hernández School community. The Operations Manager will coordinate all day to day needs for the school building to function effectively and safely for students and staff. They will manage the main office (including secretary), supply and curriculum inventory and ordering, schoolwide transitions, the master schedule, lunch and recess, as well as support adherence to the BPS Code of Conduct to ensure a safe learning environment. The Operations Manager will also collaborate with the Academic Leadership Team (ALT) members to ensure all operational and logistical policies and procedures related to instruction, assessment and student support are established, communicated, adhered to, and adjusted, if necessary.

Responsibilities
The Operations Manager will demonstrate strong project management and organizational skills to effectively manage the day-to-day aspects of the building and support longer-term strategic initiatives. A key component to the role will include clear and expedient communication to multiple stakeholders.

Specific responsibilities will include:
Operations & Facilities
  • Develop and implement systems and procedures to ensure seamless execution of all school operations each day, including, but not limited to, arrival and dismissal procedures, lunch and recess, before and after school programming, main office management, emergency plans, scheduling, and space requests
  • Prepare the school for the beginning and end of the year by ensuring that classrooms, building facilities, and services are lined up and ready to go
  • Provide oversight on the planning and execution of all on-site and off-site school events such as field trips, open houses, family nights, performances, etc.
  • Coordinate the hiring and interview process for potential candidates
  • Manage daily coverage planning, substitute requests, and staff attendance / tardy monitoring
  • Partner with custodial staff to clarify, and uphold cleanliness expectations in the building
  • Monitor cleanliness of the building on a daily basis through walkthroughs at the start of day and night custodial shifts
  • Coordinate all facilitate improvement requests through Asset Essentials
  • Manage all building use requests and space reservation needs for school, before/after school, and partner requests
Academics & Assessments
  • Manage inventory of all school supplies, classroom furniture, technology, and curriculum needs to ensure full utilization of resources and responsible spending
  • Serve as the testing coordinator to manage all logistics of student assessments, including ordering materials, scheduling, and classroom set up
  • Serve as Aspen coordinator ensuring accurate scheduling, rosters, and managing all enrollment and waitlist processes
  • Serve as the technology coordinator and participate in OIIT trainings and all maintenance and inventory related to chromebook and other technology devices
Student Attendance Monitoring System
  • Oversee daily attendance schoolwide, including daily tardies and early dismissals
  • Communicate with families the importance of attendance
  • Manage monthly nudge letters to families, student attendance contracts, and family attendance meetings as needed

Qualifications
  • Bilingual and biliterate in Spanish and English
  • High level of skill with Google Suite (Docs, Sheets, Drive, GMail, etc.)
  • Bachelor's degree preferred or equivalent experience
  • Shared dedication to the Hernández's mission and core values
  • Commitment to the success of all Hernández students
  • 3+ years of full-time work experience; 1-3 years experience preferably in an education or non-profit related organization
  • Strong organizational skills and attention to detail, with a demonstrated ability to work independently, lead multiple projects, and manage a high volume of tasks, deadlines, requirements, and decisions.
  • Strong written and oral communication skills
  • Ability to work independently as well as within small and diverse teams

NOTE: School-based managerial employees will work 223 days between July 1st and June 30th each year. The 223 day work-year will include the 180 days in which school is in session, and the additional days will be determined by the employee and the principal or headmaster of the school. This position is subject to the City of Boston residency requirement.

School-based managerial employees are not eligible for vacation time or compensatory time. In the event of school cancellation due to snow or inclement weather, school-based managerial employees need not report to work.
