OFFICE OF OPERATIONS

S alary Range: $60,022 - $69,608
E ssential Functions and Objectives:
P rovides division level confidential administrative support to Executive Directors. Acts as a primary contact and coordinates and/or responds to questions regarding District-wide activities, policies and procedures. Coordinates meetings and activities with other departments, functions and outside agencies. Acts as a liaison with all levels of District staff and community representatives.
- Provides assistance and support by identifying and prioritizing incoming information and requests; delegates and/or directs issues to appropriate department or District personnel.
- Researches, collects and compiles data, prepares reports, financial analysis, surveys and other materials for the Executive Director of Finance, Controller and District stakeholders.
- Serves as the primary contact person for administrative issues of a complex and confidential nature, drafts correspondence, and plans and prepares reports; makes decisions and takes action within agreed upon limits.
- Compiles and tracks department projects and is responsible for planning, organizing and delegating to ensure the smooth and efficient operation of the division.
- Plans, organizes and schedules meetings and takes and publishes minutes and agendas; tracks, follows up on and coordinates action items until satisfactory completion.
- Performs budgetary and accounting functions for the department, such as monitoring annual budget, transferring budget monies, purchasing large ticket items, processing invoices and maintaining petty cash.
- Organizes, tracks and participates in District, building or department special projects.
- Answers inquiries and offers assistance to parental/community concerns in routine and non-routine matters using appropriate initiative; screens calls and refers as appropriate.
- May coordinate or direct the activities of department support staff, student aides, or volunteers.
K nowledge, Experience & Other Qualifications:
- Minimum of three (3) years of secretarial and administrative assistant experience, including experience assisting an executive of an organization.
- If using a personal vehicle to conduct work business, must have a valid Colorado driver's license or be able to obtain a Colorado driver's license within the state's required time frame for new residents and meet the District's insurability requirements.
- Advanced verbal and written communication, interpersonal, time management, problem solving and report preparation skills.
- Intermediate knowledge of accounting, budget systems and math.
- Effectively handles multiple demands and competing deadlines.
- Strong leadership, supervisory, organizational and multitasking skills.
- Ability to communicate, interact and work effectively and cooperatively with all people including those from diverse ethnic and educational backgrounds.
- High degree of integrity in handling confidential information.
- Ability to promote and follow Board of Education policies, District policies and department procedures, and direction from supervisor.
- Ability to champion the District's vision, educational advancement of its students, the Denver Plan and the District's strategic goals.
- Advanced experience and proficiency with Microsoft Office products (e.g. Access, Excel, Word, and PowerPoint).
- Bilingual skills in Spanish preferred.
E ducation Requirements:
- High school diploma required.
- Associates degree preferred.
- Bachelor's degree in business administration or related field preferred.
