SUMMARY DESCRIPTION

Under general direction, performs and oversees various and complex registration and secretarial responsibilities at a high school. The School Registrar processes records and documents; registers and withdraws students; and processes variances. Incumbent performs related work as required.

EXEMPLARY DUTIES/RESPONSIBILITIES

Maintains student filing system and permanent records, including transcripts, cumulative folders; high school transcripts; marries the elementary, middle and final high school transcripts and file according to Student Accounting procedures; receives, evaluates, and converts to credit system all transcripts received from students enrolling from other school districts; receives and verifies graduation required exam results; creates a database and calculation system for student graduation information and enters all necessary information such as potential diploma type and millennium scholars, etc.; works cooperatively with counselors that diploma types and graduation requirements coincides with the registrars determination; reviews graduate records to assure graduation requirements have been satisfied; calculates grade point averages, class ranking, recognitions, and number in class, and posts information on student electronic permanent records; signs transcripts attesting to the truthfulness and accuracy of official transcripts and that graduates have successfully completed graduation requirements; determines diplomas to be received and posts on transcript; receives release requests and directs requestor to online records ordering. Surrenders permanent records to Student Accounting twice a year.

Assist students and parents with online registration; approves online registration and verifies that all information is accurate, including student's legal name, birth certificate, address, proof of guardianship, obtains immunization record for school personnel; assists students/parents with withdrawing; provides students with transfer forms, making sure all teachers have issued a withdrawal grade and that the withdrawal form is complete; and determines students not in high school zone and requests parents complete and sign variance forms.

Assists students and parents with problems regarding transcripts. Credit counts, and grade point averages; assists counselors with questions regarding grades, credits and transcripts; and contacts schools for records, grades, and course descriptions.

Opens grading windows for teachers. Reviews grades for accuracy. Maintains grade changes.

Responsible for the student cohort data including verifying each student is in the correct cohort, each student who leaves the school has correct leave code, and that each request of record is recorded and coincides with the last leave code within the student information system. Assist in exhausting all possibilities to locate vanished students. Prepares drop-out report.

Responsible for compiling, balancing, and troubleshooting District and State generated reports monthly and as requested.

Attends mandatory registrar meetings and ongoing trainings.

Answers telephones and prepares various documents; assists students with problems regarding transcripts, credit counts and grade point averages; assists counselors with questions regarding grades, credits and transcripts; and contacts schools for records and grades.

Cross trains other office staff to substitute as needed. Performs secretarial responsibilities of other office secretaries as needed.

EMPLOYMENT STANDARDS

Education/Experience: Any combination equivalent to education and experience that would likely provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and skills would be:
  1. Equivalent to a high school diploma;

AND
  1. Three (3) years of secretarial experience, some of which was in the area of student registration.

Knowledge of: State, county and Washoe County School District Educational requirements; Washoe County School District graduation requirements and regulations; basic math; grammar, spelling, punctuation and vocabulary; modern office procedures and equipment.

Skill at: Computer data entry and utilizing various software programs; filing, typing accurately; organizing work assignments; researching information; computer usage and word/information processing; developing good rapport with people; dealing effectively with the public; maintaining accurate records; operating modern office equipment.

Salaries are subject to adjustment and may increase and decrease each fiscal year.
New employees hired by Washoe County School District are normally placed on the entry step of the grade of the position.

Additional Job Information:

This is a 40 hour per week, 260 day position.

Eligible employees who are regularly scheduled to work less than 20 hours per week receive Social Security benefits, and the Salary Increases, Longevity Bonuses, and Credit Union benefits; eligible employees who are regularly scheduled to work 20 to 24.75 hours per week received PERS retirement benefits, and the Salary Increases, Longevity Bonuses and Credit Union benefits listed below; eligible employees who are regularly scheduled to work 25 to 27.25 hours per week receive the benefits listed below, with the exception of Medical, Dental, Vision Insurance; eligible employees who are regularly scheduled to work 27.5 hours per week or more receive full benefits of the District.
Holiday: Eligible employees receive up to eleven (11) paid holidays each year. Vacation: Eligible employees receive up to twenty (20) days of paid vacation each year. Sick Leave: Eligible employees receive up to fifteen (15) days of paid sick leave each year. Medical, Dental, Vision Insurance: Eligible employees may select an insurance plan wherein WCSD contributes 100% of insurance premiums. Eligible employee paid dependent medical insurance is available for an employee's dependents. Insurance Premiums - Summer Months: WCSD contributes 100% of the district paid portion of eligible employee's insurance premiums for employees who are not scheduled to work in the summer. Life Insurance: The District contributes 100 % of employee's life insurance premiums. Salary Increases: In addition to any negotiated increases each year, eligible employees receive salary increases each July, for the first fifteen (15) years of employment. Longevity Bonuses: Eligible employees receive annual bonuses as follows: 12-14 years of employment, $700; 15-17 years of employment, $1,000; 18 + years of employment, $1,100. Credit Union: Outstanding benefits are available through the Credit Union.
No State Income Tax. No Social Security deductions for most positions working 20 hours per week or more. Retirement benefit offered is the State of Nevada retirement system, Public Employees Retirement System (PERS), which is one of the best in the country.

PERS ELIGIBLE POSITIONS:

Eligible Employees who select the employer paid salary schedule (Schedule A) will have Washoe County School District (WCSD) contribute 100% of the employee's retirement contributions. Eligible employees who select the employer-employee paid salary schedule (Schedule B) will have a portion of the legislatively designated amount paid by WCSD to PERS for retirement benefits and the employee, in turn, will pay the remaining portion of the legislatively designated amount of his/her salary to PERS. These options are introduced and explained in detail during the New Employee Orientation upon selection for employment.

New employees will be fingerprinted upon hire and every five years thereafter and will have $58.50 deducted from their first paycheck to help defray the cost of fingerprinting. Non-licensed employees will have $58.50 deduction when their fingerprints are completed every five years. Fingerprint fees are subject to change.
