JOB TITLE: Temporary Contract Special Education IEP/Scheduling Clerk
WAGE/HOUR STATUS: Nonexempt
REPORTS TO: Director of Special Education
PAY GRADE: Hourly 11.52/hr contract blue sheet
DAYS IN POSITION: Up to 9 weeks
DEPT./SCHOOL: Special Education
PRIMARY PURPOSE:
Assist in the scheduling of IEP/ARD meetings for several campuses.
QUALIFICATIONS:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Effective communication and interpersonal skills in person and over the phone
Excellent written communication skills
Ability to use and manage electronic calendars
Understanding of interface between multiple software systems
Experience:
Secretarial Experience Preferred
MAJOR RESPONSIBILITIES AND DUTIES:
1. Maintain confidentiality of student records.
2. Contact appropriate staff and parents, prepare notices, send calendar invites, and ensure required members are able to attend meetings.
3. Receive incoming calls, take reliable messages, and route to appropriate staff.
4. Maintain departmental files, including confidential student records.
5. Serve as the point of contact for all questions related to scheduling of student ARD/IEP meetings.
6. Archive records to electronic file.
7. Monitor the system for tracking movement and accuracy of state files.
8. Comply with all rules and regulations related to Special Education files.
9. Ensure compliance with IDEA timelines related to Special Education meeting requirements.
EQUIPMENT USED:
Typewriter, personal computer, printer, fax, copier, and laminator.
WORKING CONDITIONS:
Mental Demands:
Reading; ability to perform basic arithmetic calculations, communicate effectively (verbal and written), and operate personal computer.
Physical Demands/Environmental Factors:
Repetitive hand motions; prolonged use of computer.
