St. Peter the Apostle, located in Oakland, Maryland is seeking candidates for a Parish Secretary/Administrator/Office Manager. This is a 32 hour position.

The Parish Secretary/Administrator/Office Manager is a resource for members and non-members, and a welcoming and responsive presence in the church office.

Job Responsibilities:

Administrative
  • Provides a multitude of clerical and administrative functions for the Pastor and staff.
  • Works to establish professional and productive operations in the parish office.
  • Serves as a "Face of the Parish" and is the first point of contact for all callers and visitors of the parish. Warmly greets all callers and visitors and responds to their needs in a pastoral and timely manner.
  • Monitors budget and maintains records of receipts.
  • Maintains and coordinates calendars of Pastor, office and parish.
  • Maintains data base for parishioner registry and other parish related information.
  • Receives and accurately records payments and donations.
  • Schedules, creates agendas, invites participants, attends and records meetings.
  • Designs and creates weekly bulletin for parish. Seeks new and innovative ways to improve the bulletin and communications.
  • Prepares for weekend masses at church and Lake Center to ensure both have necessary elements.
  • Works closely with brides and grooms to ensure necessary paperwork is received and coordinates with others to ensure a smooth celebration of the Sacrament of Marriage.
  • Accompanies families of deceased to make funeral arrangements and coordinates with funeral home and staff to ensure a loving and peaceful funeral.
  • Manages parish facility usage and rentals.
  • Coordinates parish events including, but not limited to the Parish Christmas Brunch and Parish Picnic. Recruits and collaborates with volunteers to provide invitational, prayerful and enjoyable events.
Supervisory Collaborative
  • Supervises Office Receptionist and Volunteers
  • Offers training to volunteers and ministry leaders
  • Works with ministry leaders, Archdiocesan members, parishioners and community organizations.
  • Works closely with fellow staff and Pastor.
  • Available to support Pastor as needed for special projects.


  • Job Requirements:

    QUALIFICATIONS

    Skills, Knowledge and/or abilities
    • Demonstrates capability to carry out administrative and supervisory duties in a timely fashion, utilizing good communication and relationship skills.
    • Must be an active member, in good standing, of the Roman Catholic Church
    • Excellent organizational and problem-solving skills
    • Ability to relate to a variety of people and capacity to maintain sound relationships with other pastoral staff, parishioners, volunteers, and service providers.
    • Ability to coordinate and oversee parish events and ministries.
    • Ability to multitask and prioritize in fast paced environment with minimum supervision
    • Manages time and tasks appropriately with the ability to adapt to changing priorities without frustration or compromise to work output.
    • Demonstrated proficiency in Microsoft Office
    • Willingness to learn and capacity to master parish data systems utilized by Archdiocese and Parish Office (Parish Soft, Flocknote, Zoom, VIRTUS)
    • Must possess exceptional writing and communication skills.
    Education, Training and/or Experience
    • High School Diploma, Associate or Bachelor's Degree preferred
    • Prior experience in office setting
    WORKING CONDITIONS

    May require weekend or evening work

    Travel
    • Monthly to Allegany County for CALMM
    • Yearly to Baltimore region for Pastoral Day with Archdiocese
    • As needed for training or other meetings.
