St. John's School is seeking an administrative assistant to join our school. St. John's is a vibrant Catholic school, located in Boston's historic North End, serving students in Pre-K through Gr 8 . Our administrative assistant is the first point of interaction for students, parents and visitors to our school. As such strong communication skills, being kind, personable and having a calm demeanor is a must.
The administrative assistant is responsible for all business associated with running the school's front office including, but not limited to:
- Assisting all members of our community, especially children ages 3 to 14, with professionalism and compassion in a manner reflects our values as a Catholic School.
- Supporting parents with requests pertaining to their child's education.
- Ensuring compliance with all Archdiocese requirements regarding CORI and other paperwork.
- Answering phones in a cordial and timely manner and maintaining communication records.
- Create and maintain filing systems, both electronic and physical
- Accurately record payments for tuition working with the business manager.
- Greeting and assisting students, parents, and visitors at the main office in a friendly and helpful manner
- Manage student data daily, such as attendance, tardy, dismissals and medical appointments
- Supporting faculty and principal throughout the day ensuring there is succinct communication regarding student needs.
- Manage student paperwork including transfers, withdrawals and ensure all legal documents pertaining to students records are in compliance
- Manage AM and PM busing communication to families
- Manage purchase supply requests, textbook inventories,
- Have a high degree of proficiency with independently using Word, Powerpoint, Google Documents, Sheets, chat, forms, and slides etc
Must possess
- Strong administrative writing skills
- Microsoft Office Skills - must be highly proficient with Excel.
- The capacity to manage an organized work environment and managing multiple issues at once.
Terms:
Hours 7:00 am - 3:00pm daily. 12-month position with all school vacations off and an additional 15 days leave during the summer vacation. Occasional attendance at school events in the evening.
Candidates must have a proven record of working in a demanding environment and experience of managing multiple immediate and long term requests from various stakeholders.
Must be motivated to learn our data management system - Renweb.
Must be capable of lifting at least 20lbs.
Qualifications- Preferred:
Education: Hold a Bachelor's degree
Experience working with school aged children
Experience with Renweb school management system
