Position Description
Job Title: Special Education Clerical Assistant
Location: Assigned School
Job Group: Non-Union Support Staff
Pay Level: Non-exempt, Grade 5
Reports To: Building Principal/Director of Educational Support Services
Summary: Assists the Educational Support Services department by performing clerical duties, responding to telephone calls,
maintaining Special Education, 504 and EST documents and files. Works in a highly visible office dealing frequently with
sensitive communications and information. Maintains confidentiality of all confidential material.
Essential Duties and Responsibilities: (Other duties may be assigned)
1. Maintains department and student accurate digital/paper files and records:
a. Uses DocuSped to: input student information, meeting notices; track IEP's, evaluations, 504 plans, EST plans, and
child count paperwork; and maintain other documents as assigned.
b. Coordinates the distribution and collection of Medicaid paperwork. Verifies student attendance, obtains required
signatures, and submits for Medicaid reimbursement.
c. Coordinating the flow of information for time studies; Serving as a liaison between ESS Office and schools.
d. Creating documents, forms, spreadsheets, charts and distributes as needed.
2. Provides organizational support to school-based special education staff:
a. Maintains Paraeducator/Interventionist attendance records; follows up on appropriate paperwork and on-line entries.
b. Coordinates the proper completion and collection of educational support staff timesheets.
c. Assists with substitute coverage for Special Educators, Paraprofessionals, and Interventionists. May rearrange daily
schedules based on prioritize duties as approved by Special Educator.
d. Assists Special Educators in contacting staff or families in emerging situations.
e. Assists in arranging meetings, events, and trainings as requested and maintains an accurate calendar and records of
meetings, trainings, and events for Paraeducators, Interventionists, and Special Educators and their substitutes.
f. Facilitates communication between Special Educators and Educational Support Professionals for schedule changes,
information requests, training, supplies, and other needs.
3. Performs clerical tasks including, but not limited to:
a. Answering routine telephone and in-person inquiries regarding department programs, procedures, and policies from
parents, staff, vendors, and consultants.
b. Submitting maintenance or Technology support requests.
c. Creates purchase order requests and follows up as necessary.
d. Prepare materials for use with students: photocopying, laminating, enlarging, book binding, and creating.
e. Use various equipment i.e. photocopier, digital camera, laminator, book binder, board maker, etc.
f. May provide coverage, as needed, for school secretaries.
4. Remains current on software, department operations, and required paperwork and procedures. Participates in training,
as needed, to support special educators. (i.e., DocuSped, Medicaid, Student Information Systems).
5. May perform other duties as assigned.

Education and/or Experience: High school graduate or equivalent, Associate's Degree preferred. Two or more years clerical
experience desired. Knowledge of Special Education rules and regulations preferred.
Language Skills: Ability to read and interpret documents such as safety rules, procedure manuals, operating and
maintenance instructions. Ability to develop and write correspondence. Ability to speak effectively before others.
Mathematical Skills: Ability to apply basic math to calculate figures, amounts, develop percentages and statistical
information. Ability to apply concepts of basic algebra.
Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where some
standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability
to maintain confidentiality of information presented in various forms (written/oral).
Other Skills and Abilities: Must have effective oral and written communication skills. The ability to establish and maintain
positive working relationships with students, staff and the school community. Must be successful working in a fast-paced
environment, demonstrate flexibility and multi-tasking. Position requires a calm and friendly approach to manage a constant
flow of interruptions from walk-ins, phones, and emails while serving others. Personal computer and spreadsheet experience
and the ability to learn and utilize new software programs as systems are upgraded. Must be able to keep high levels of
confidentiality in all aspects of job performance. Ability to perform duties with awareness of all District requirements and

While performing the duties of this job, the employee is regularly required to sit, talk, see and hear. The employee is
frequently required to reach with hands and arms, and demonstrate manual dexterity to operate computers and office
machinery/equipment. The employee will occasionally walk and stand and lift up to 40 pounds. Infrequent travel from building
to other sites may be required. Specific vision abilities required by this job include close vision, distance vision, depth
perception, and the ability to adjust focus. The employee is required to be able to hear conversations in quiet environment.
Work Environment: The work environment characteristics described here are representative of those an employee

While performing the duties of this job, the employee regularly works inside. The employee must be able to meet deadlines
with sever time constraints.
The noise level in the work environment is usually quiet.

Evaluation: Performance will be evaluated at least annually by the Principal/Director of ESS to the stated performance
objectives and the qualities and characteristics contained on the evaluation form.

This position is split between two elementary schools; Rick Marcotte Central School and G.E. Chamberlin School.
