The Administrative Coordinator for Teaching and Learning Team provides executive level coordination and programming implementation functions associated with the DYS Teaching and Learning Team and provide direct support to the Director of Curriculum, Instruction, and Assessment, Assistant Director for Professional Development, and other members of the Teaching and Learning Team as needed and directed.

Essential Functions:

General Responsibilities
  • Coordinate with Teaching and Learning Team and project-related staff to ensure a seamless operation with regard to all aspects of teaching and learning across the education program
  • Coordinate time sensitive response to ongoing curriculum needs of the DYS teaching force, and the Instructional Coaching team
  • Maintain database system for curricular materials and resources
  • Maintain PD database of educational staff professional development data
  • Serve as administrative liaison to the SEIS professional development administrative team
  • Assist the Assistant Director for Professional Development and Director of Curriculum, Instruction, and Assessment with other projects as assigned
  • Support other members of the DYS Initiative Team with projects and tasks as assigned
  • Ensure proper internal and regulatory procedures are followed
  • Coordinate the delivery and removal of materials due to program opening and closings.

Professional Development Programming
  • Plan, coordinate, and execute all professional development and training activities for an education workforce that spans the state, holds a variety of classroom, support, and administrative roles.
  • Collaborate with other key stakeholders, including DYS, Special Education in Institutional Settings (SEIS), and CES Professional Development
  • Negotiate site and facilitator contracts
  • Ensure seamless implementation and proper management of the registration and record keeping processes of all professional development including full-day statewide, regional, web-based, and distance learning, and individualized training webinars.
  • Coordinate on site professional development programs, field, screen, and triage"day-of" event concerns and problem solves, or directs them to the appropriate supervisor; serves as liaison between CES and the facilities management team, ensures appropriate technology set up, room arrangements, registration, and processing of all participants
  • Collaborate with the Executive Operations Manager in preparing and maintaining the Operations and Professional Development Calendar
  • Maintain an electronic and hard-copy portfolio of DYS professional development data as an archive of events and accomplishments for each year
  • As directed, serve as primary logistics coordinator for PD and training activities involving CES education staff and with respect to advancing various strategic initiatives of the Department of Youth Services, such as Empower Your Future curriculum. Maintain routine and timely communication to all relevant parties surrounding professional development and training planning and implementation


Budget/Contracts, Coordination, and Monitoring
  • In collaboration with managers, support a budget system that monitors expenses associated with curriculum, and professional development including resources and materials, professional development events.
  • Monitors spending patterns and provides projections around future Teaching & Learning Team needs
  • Support the execution of contracts with professional development facilitators
  • Oversee the maintenance and updating of the DYS resource database including the tracking of materials ordered and received.
  • Track purchases and liaison with the fiscal office regarding invoice payments
  • Ensure activities and purchases adhere to fiscal and internal control procedures
  • Maintain strict confidentiality regarding budget and personnel matters


Minimum Qualifications

  • 3-5 years of experience in a logistics, project management, and/or events coordination role
  • Exemplary organizational skills
  • Commitment to Social Justice and Equity
  • Skilled in the use of Google Enterprise Apps, including Mail, Drive, Docs, Sheets and Calendar
  • Familiarity with databases such as Salesforce, ADP
  • Ability to prioritize tasks and to shift tasks on demand based on needs
  • Proficiency with follow through and follow-up on tasks over time
  • Superior time management skills
  • Demonstrated initiative and anticipate needs
  • Effective written and oral communication skills
  • Ability to work as a member of a team and act in the best interest of the team
  • Demonstrated sound judgment in decision making
  • Professional demeanor with clients and other staff, especially exhibiting patience and a sense of humor

Preferred Qualifications

  • Bachelor's Degree or higher



Physical Demands

  • Able to lift, move, and pack boxes up to 40 lbs
  • Able to perform physically demanding tasks in various environments
  • Able to endure a full day of physically demanding work when required
  • Occasional travel to professional development events and/or DYS programs throughout the state required

Work Conditions
  • Able to work in areas housing curricular resources [this includes the basement and portable storage areas]
  • Able to work an occasional flexible schedule

Terms of Employment
  • 40 hours per week, full year
  • Benefits: Health, Dental, Vision, Long Term Disability, Life Insurance, and voluntary Short Term Disability, enhanced Vision and additional Life Insurance. Health Insurance is offered through Harvard Pilgrim with various plan options including a PPO with a self-funded Health Savings Account, and an HMO with a Health Reimbursement Account funded by CES to support a portion of health insurance deductions. FSA and Dependent Care accounts are available. CES is considered a quasi-state agency and provides two retirement options for employees based on eligibility. Employees are vested after ten years of creditable service

Compensation:
  • $50,000 - $60,000
