Job Description
Position Overview
KIPP Philadelphia Public Schools (KPPS) is seeking an HR Manager to run the daily functions of the Human Resource (HR) department including administering pay, benefits, leave, and supporting understanding of organization-wide policies and practices. Additionally, they will support our efforts to build a scalable and efficient HR infrastructure, provide exceptional service and support to our schools, and ensure the HR team's continued success in serving 400+ (and growing) teammates. The HR Manager will play a critical role in continuing to make KPPS a premier destination and long-term home for talented, committed, culturally competent individuals. The HR Manager will report to the Managing Director of HR.

Duties and Responsibilities include, but are not limited to:
Payroll & Benefits Management
  • Process claims resolutions, reconcile benefits statements, and approve invoices for payment
  • Ensure the accurate payment of wages through effective collaboration with Principals, Directors of Operations, finance, talent, and recruitment staff
  • Transmit twice-monthly payroll, through ADP Workforce Now
  • Manage special situations including garnishments (e.g., child support, tax levies) and state agency requests (e.g., unemployment, disability, payroll taxes)
  • Ensure accurate benefit enrollments and payroll deductions
  • Provide personalized guidance and management of leave administration processes, to include FMLA, disability, parental/caregiver leave and other KPPS benefits
  • Assist with and/or complete other duties and projects as assigned by Managing Director of Human Resources, COO or designated leadership team member
New Hire Onboarding Process
  • Partner with talent to processes and onboard for KPPS
  • Approve offer letters before they are sent to candidates, ensuring all required language is present, and that compensation aligns with KPPS model
  • Collect employment and tax information
  • Ensure background and reference checks are completed and filed
  • Create new employee electronic files
  • Oversee the completion of compensation and benefit documentation
  • Partner with Operations to orient new employees to the organization (e.g., setting up a designated log-in, workstation, email address, etc.)
  • Support new hires with questions regarding benefit enrollment process and deadlines
  • Serve as a point person for all new hire questions
  • Support Talent team in responding to candidate questions related to pay, benefits, etc.
  • Ensure receipt of additional compensation outlined in offer letters (e.g., signing bonuses, relocation reimbursement, tuition reimbursement)
  • Each Spring, send out offers to current employees who commit to returning for the following school year
Credentialing
  • Initiate cost-codes for background checks and retrieve results
  • Log receipt of clearance(s) and set renewal tracking calendar for new hires
  • Maintain renewal tracking for returning employees through reminders and follow-up
  • Report prohibitive list violations and other concerns to MDHR
  • Collect proof of required credentials (e.g., degree, transcripts, licenses, certifications) from new hires
Employee Database and File Management
  • Add new hires to ADP
  • Provide new hires with directions and detailed support in
  • Understanding specifics Company benefits and perks
  • Enrolling in health benefits, voluntary plans (to include EOI instruction), retirement 403(b) programs etc.
  • Direct deposit
  • Maintain record keeping within ADP, ensuring employee names, job titles, compensation, and employment status are up to date
  • Maintain accurate records of employee performance reviews
  • Manage termination process to include updating electronic files and systems
  • Initiate exit interviews and track trends
  • Respond to employment verification requests
  • Complete student loan waiver/forgiveness documents
  • Respond to Act 168 inquiries
Qualifications
Qualifications, Skills, Qualities:

Prior Payroll Processing Experience: Preferably in ADP Workforce Now

Prior FMLA and Leave Management Experience: Expert ability to explain intricacies of various leave offerings and track accordingly

Project Management: Independently and collaboratively

In addition, the candidate must have the following qualifications:

● Minimum of 3 years required HR experience (5 or more years preferred)

● PHR or SHRM-CP preferred (not required)

● Experience with ADP Workforce Now HRIS Platform

● Mastery of Microsoft Office (particularly Word, Excel, Outlook and PowerPoint) required; fluency with relationship databases (required); Familiarity with Google platforms is a plus.

● Bachelor's Degree

Compensation
  • Salaries at KPPS are competitive, equitable, and commensurate with experience. The salary range for this position is $70-$75K. all KPPS staff members enjoy a comprehensive benefits package, a 403B matching program, and access to free financial advising services.
