Job Title: Secretary/Receptionist - Office of Federal Programs
Reports To: Director of Federal Programs

Job Summary:

To perform a variety of basic secretarial and clerical duties for the Office of Federal Programs, with a principal focus on key office reception functions, as well as basic and specialized office support tasks.

Required Skills/Abilities:
  • Associate Degree preferredGood basic typing, filing, reception, and other general office skills.Good basic reading, spelling, and math skillsMust be highly proficient in using Microsoft Office Products, Word, Publisher, and Excel.Ability to deal with students, staff, parents, and/or individuals from outside the Office of Federal Programs courteously and efficientlyProficient in the use of computer equipment and word processing softwareProficient in oral and written communication skillsSuperior knowledge of office and telephone etiquetteMust be familiar with office machines such as copiers, postage meters, etc.

Education and Experience:
  • Associate Degree preferredFive (5) years of more administrative, office, or secretarial work, is preferable in education K-12
Duties and Responsibilities:
  • Coordinates and schedules appointments and meetings for the Director of Federal Programs.Assists certified staff in the Office of Federal Programs.Assists the Director of Federal Programs with budgeting, reporting, communications, and preparations for meetings and state department audit visits.Aids with the supervision of special summer enrichment programs.Performs general office duties to include answering the telephone, filing/recordkeeping, computer applications (Microsoft Word/Excel) copying, documenting professional development activities, addressing community/parent needs, and maintaining federal expenditure records.Assists in planning and scheduling travel reservations (flights, registrations, and hotels) for office staff, principals, and teachers, as needed for professional development conferences.Assists with annual needs assessments at the district and school levels.Ensures that the district's fixed assets procedures are followed when checking out and checking in federally purchased equipment.Screens purchase requisitions and answers inquiries from principals and school bookkeepers regarding budgets for Title I, Title II, Title III, and IV and special grants.Assist in carrying out district-level responsibilities for the ESSER, ARP, Homeless, 21 st Century Community Learning Centers Grants, and other grants.Aids in planning and hosting events/services for after-school programs, homeless education, parental involvement, and the multi-cultural fair.Assists in preparing documentation for school board meeting agendas.Maintains random and suspicion-based drug testing communications and coordinates with the drug testing health care providers, the associate superintendent, principals, and school contacts.Travels to and from schools as needed to carry out office functions.Assists with Annual ELPT Assessments for English Language Learners to include test verifications, delivery of secure test materials to schools, supplies needed for testing, pickup, and the return of secure test material to the MDE vendors.Gathers school and district news from local newspapers for documentation.Continues professional development through attendance at professional meetings and participates in relevant learning experiences.Maintains all work supplies and materials for federal program staff.Maintains an organized, clean, neat, and aesthetically arranged office.Performs other duties as requested by the Director of Federal Programs, the superintendent, and/or other central office administrators.
