Position: Confidential Secretary to the Office of the School Committee (0.6 FTE)
Duties:
Under the supervision of the Executive Secretary to the School Committee, the Confidential Secretary will perform secretarial duties related to the effective daily operation of the Office of the School Committee. Additional responsibilities include:
Terms of Employment : 12 months/year; 24 hours per week (0.6 FTE). Evening and weekend work required. Non-union position.
Salary : $39.10 hourly; plus, $2,000 annual stipend for additional Sub-Committee Meetings.

Duties:
Under the supervision of the Executive Secretary to the School Committee, the Confidential Secretary will perform secretarial duties related to the effective daily operation of the Office of the School Committee. Additional responsibilities include:
- Provide support to the Executive Secretary and School Committee Members
- Coordinate and attend all Sub-Committee meetings with transcription of a written report
- Assist in preparation of meeting materials for School Committee Members (done in conjunction with the Executive Secretary)
- Research and process public information requests in an accurate and timely manner
- Courteously greet and direct office inquiries, and effectively respond to phone calls, emails, and other correspondences
- Maintain an accurate office filing system, confidential files, and records
- Prepare School Committee motions and orders
- Update Policy Manual and School Committee order database
- Assist in preparation of materials for Members' review prior to Regular School Committee meetings
- Manage School Committee Office purchases inventory of office supplies
- Sort and distribute incoming mail
- Maintain School Committee Office and Meeting Room
- May be required to attend Regular and Special School Committee meetings including Roundtables and Retreats in the absence of the Executive Secretary to the School Committee
- Perform other ad-hoc duties as assigned. Frequent night meetings are expected.
- Bachelor's degree preferred or five (5) years of related experience in lieu of a degree (educational experience a plus)
- Possess demonstrated ability to maintain confidentiality
- Must demonstrate initiative and an appropriate sense of urgency; understand the importance of accuracy and details
- Must be congenial and collegial
- Must have the ability to work well and maintain professional relationships with the School Committee Members, City Council, Central Office Administrators, CPS staff, and the Cambridge community
- Must be reliable, available, and flexible as night hours as may be required from time to time
- Superior secretarial skills
- Excellent typing (60 wpm), proofreading, filing, and research skills
- Ability to accurately report and transcribe meeting minutes
- Excellent organizational, interpersonal, written, and verbal communication skills
- Knowledge of administrative and clerical procedures and systems
- Knowledge of Roberts Rules of Order and the Massachusetts Open Meeting Law, G.L. c. 30A, •• 18-25 preferred
- Proficiency in Microsoft Office, G-Suite, and video-conferencing software
- Ability to handle multiple tasks with a minimum supervision
