TITLE: General Secretary, Bennie Dover Jackson Middle School (Group 5, 12 Months)
REPORTS TO: Principal or Designee
SUPERVISES: N/A
TERMS OF EMPLOYMENT: 12-month position, other terms as set by Board of Education and Secretaries' Contract
PRIMARY FUNCTION: To ensure the efficient and smooth operation of the building and provide a welcoming atmosphere.
TYPICAL DUTIES AND RESPONSIBILITIES:
The job description has been designed to indicate the general nature and level of work performed by employees within this classification.   • Answers and directs incoming phone calls and distributes incoming mail.
  • Reception duties to the school, including but not limited to visitor management, greeting parents and visitors, and assisting with them with their needs.
  • Assists with inputting attendance data into the student information system including but not limited to daily attendance, tardies, and early dismissals.
  • Responsible for all building-wide communications including but not limited to: School Messenger calls, updating the website, letters home, etc.
  • Responsible for the oversight of copy machines including but not limited to machine maintenance, service calls, and stocking copier rooms with paper, toner, and staples.
  • Assists with bulk mailings to parents and community members as directed by the Principal.
  • Procures substitutes and checks in the morning to see that all classes are covered in case of teacher tardiness or lateness of substitutes.
  • Assists with maintenance of necessary staff accounting records, such as those of absentees and substitutes.
  • Assists with the ordering and distribution of materials building wide.
  • Assists in tasks related to the opening and closing of school.
  • Assists with the inputting and maintenance of student information into student information database.
  • Maintains parent common areas ensuring up to date information is provided and presented in a clear way.
  • Provides oversight for facility use requests including the calendars for all conference rooms.
  • Assists in the compiling of teacher manuals and teacher packets at the beginning of the school year.
  • Completes Fire Drill Logs and submits them in accordance with State Regulations.
  • Assists the Principal with administrative tasks regarding the preparation and implementation of the building's All-Hazards School Security & Safety Plan.
  • Performs such other related tasks as assigned by the Principal.
  • REQUIRED QUALIFICATIONS:
    • Proficiency in computer applications including Microsoft Word, Excel, Power Point and Publisher.
    • Proficiency in typing (min. 50 wpm)
    • Strong organizational skills
    • Proficiency in database management (student information systems)
    • Strong communication skills
    • Excellent customer service
    PREFERRED QUALIFICATIONS:
    • Bilingual (English and Spanish)

    PERFORMANCE EVALUATION: Annually by the Principal or designee.
    SALARY: Compensation determined by Secretaries' contract ($40,403.00-$47,798.00)
