Overview

Ascend is seeking a highly organized, self-starter to work in partnership with Ascend's chief operations officer (COO) and chief financial officer (CFO) and their teams. The ideal candidate must thrive in a fast paced, energetic environment and relish the work of building systems and structures that create a high performing organization.

The executive assistant is responsible for coordinating operations of the operations and finance teams and for providing diverse and complex support services. He or she is responsible for identifying and managing critical issues requiring immediate attention and ensures effective day-to-day operations of the teams.

The executive assistant maintains and promotes a consistent, professional, and accurate image; plans and executes special events; and designs solutions, manages, and follows-up on special projects. A successful executive assistant will provide and maintain a high level of customer service and satisfaction.

Responsibilities

Working in partnership with the chief executive officer, the executive assistant will:
  • Support the COO and CFO in the planning, execution and follow up for weekly 1:1 meetings with team members, weekly staff meetings and other meetings as needed
  • Coordinate and manage the leader's calendars, travel arrangements, and expense reports to ensure that leadership time is effectively leveraged
  • As appropriate, screen, follow-up and respond to emails, mail and telephone calls on behalf of the COO and CFO
  • Manage special projects as required that necessitate understanding of the organization, its goals, and direction to effectively implement
  • Develop relationships with key stakeholders within and outside Ascend, representing the office of the COO and CFO with professionalism and knowledge
  • Serve as a partner to support the systems and structures that lend to a strong administrative backbone at the network office
  • Build relationships of trust across diverse teams
  • Draft confidential correspondence, edit documents, take meeting minutes as requested and perform other administrative duties; to include presentations (PPT) and board material
  • Assist in the planning and execution of special events
  • Performs other duties, as needed

Reporting Relationships and Team

The executive assistant will report directly to both the COO and the CFO. Additionally, the executive assistant will support other members of the executives' teams as warranted.

Qualifications

  • Bachelor's degree
  • Minimum of 3 years of relevant administrative experience
  • Mastery of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.)
  • Mastery of Google docs, sheets, slides, forms
  • Clear, concise, and accurate written and oral communication skills
  • Demonstrated integrity and discretion
  • High attention to detail, with the ability to multi-task in a fast-paced environment with a sense of urgency, accuracy and professionalism
  • Flexible to troubleshoot and handle matters after business hours as necessary
  • Exceptional organizational and time management skills; ability to set and achieve priorities while working with multiple team members and competing priorities
  • Strong partnering, rapport-building, and relationship management skill across a wide range of stakeholders
  • Ability to balance team work with self-direction and drive to solve practical problems and deliver results
  • A team player with a positive attitude and the ability to work independently
