JOB DESCRIPTION

Under direction of the Payroll Supervisor, assists with the full range of duties necessary to ensure timely processing and verification of School Department payrolls.

EDUCATION TRAINING AND EXPERIENCE

High school graduate or equivalent, and a minimum of three years of progressively responsible experience working with databased payroll management in a medium to large organization with a complex, databased payroll management system; or an equivalent level of education and experience.

DESCRIPTION OF DUTIES, RESPONSIBILITIES AND CURRICULAR LINKAGES
  • Assists the payroll supervisor by serving as the primary back up in the absence of a department supervisor.
  • Must be able to manage staff.
  • Disburses preliminary payrolls to all departments; verifies completed preliminaries and run of checks.
  • Processes payroll exceptions, employee deductions, and various changes to the Employee Master Records.
  • Prepares payments of employees' deductions, withholdings, and benefits to the appropriate agencies.
  • Trains and supports payroll clerks
  • Prepares direct deposit and W-4 changes.
  • Communicates with the Human Resources Department to ensure proper and timely entering of new hires, employee changes and terminations.
  • Calculates end of service payments to ensure compliance with contractual and legal requirements for equitable distribution.
  • Performs both routine and complex payroll tasks, such as entering data and managing files.
  • Performs all duties related to processing returned checks and refund checks.
  • Reviews records regarding deferred compensation, updates deductions weekly, and sends file to third party administrator.
  • Reviews memoranda of agreement, legal awards, grievance settlements and related binding documents to calculate and prepare accurate distributions.
  • Performs all of the functions necessary in the absence of the Payroll Supervisor position.
  • Prepares and processes School payroll from the PR53 through the PR198.
  • Submits ERSRI and TIAA reports.
  • Prioritizes and reviews the work of payroll clerks.
  • Produces routine payroll reports and monthly, time sensitive unemployment reports.
  • Provides quality customer service by demonstrating confidence, expertise and courtesy when answering questions and resolving complaints regarding payroll inquiries.
  • Assists the payroll department with the processing of payroll as need.
  • Performs other related duties as assigned.
MINIMUM QUALIFICATIONS STANDARDS
  • Knowledge of the standards, methods and practices of payroll management and databased payroll systems.
  • Must be able to manage a databased payroll system.
  • Must be able to assist with the full range of payroll functions necessary to prepare complex and school department payrolls.
  • Must work collegially with staff at all levels of the organization to address matters related to payroll management.
  • Must be able to perform all essential functions of the job.
  • You must complete the new hire compliance training prior to your first day of employment
  • Bilingual Preferred
  • Selected candidate will be required to pass a pre-employment criminal history background check. Selected candidates cannot begin work until passing their background check.
